2019: Data processing automatization about transportations based on solutions of ABBYY

On August 22, 2019 the ABBYY company announced that FESCO, one of the large logistic companies of Russia, automated data processing from transportation and accounting documentation using intellectual technologies of ABBYY. In a project deliverable information on orders from all divisions of the company from Moscow to Vladivostok in several minutes comes to Business Process Management Suite and is always available to employees in electronic archive, and terms of transactions were reduced to 3 days.

The FESCO group will organize more than 13 thousand freight transportation a week across Russia and the neighboring countries, including sea, railway and automobile. In the course of the organization of transportation it is necessary to process accounting and transport documents to each container or a load — acts, invoices, TORG-12, commodity-transport delivery notes, bills of lading and others.

To transform business and to accelerate customer interaction and partners, FESCO transferred processing of finance and transport documents to the general service centers (GSC) and automated extraction of data with the help of the solution of ABBYY.

The scanned acts, accounts, delivery notes and other documents from 9 offices of the FESCO group come to OTsO in Moscow and Vladivostok. 17 specialists of the center cope with data processing from about 100 thousand documents a month from employees and partners. Thanks to intellectual technologies of ABBYY the majority of transactions is automatic, and on digitization of one document no more than a minute leaves. Using the solution ABBYY FineReader Server the scanned sets of documents are transferred to the PDF format. Then the solution takes key data from the most widespread documents, such as invoice and TORG-12. Documents with more complex structure, such as bills of lading, commodity-transport and rail waybills, acts of the rendered services and others, undergo processing on the ABBYY FlexiCapture platform. This solution defines document type and takes from it necessary attributes: for example, company name, destination address, flight number, place of receiving and other parameters.

At stations of verification the staff of OTsO checks whether everything attributes are recognized correctly, whether there are duplicates in 1C, whether signatures of partners are put down. If earlier in a system the document with identical attributes was already registered, the specialist confirms that his upgraded version arrived. Information is reflected in 1C where users from different business divisions of the company work with documents. After completion of all transactions the scan image of the document and a card with data come to electronic archive of group where it can be found easily at any time to provide necessary information to the customer or to respond to the request of the state department.

One of priority tasks for FESCO — to increase quality and service rate of clients through the whole country. Thanks to the solution of ABBYY data on all transportations are available to employees in electronic form. In a project deliverable we simplified information exchange between divisions and accelerated reply to the requests of clients — the CEO of FESKO Service Center LLC Andrey Klopotovsky summed up the project results.
