Orelmaslo arranged work with documents with the help "Scan Archive"

On March 18, 2020 the Gendalf company announced program installation for accounting and storage of primary documents in JSC Orelmaslo.

JSC Orelmaslo is the company on processing of seeds of colza and sunflower in the central region of Russia. Every year the enterprise processes 215 thousand tons of raw materials and produces high-quality oils which are delivered to EU countries, the Middle East, Central Asia and to China. The company has remote divisions and representation in Moscow.

Document flow of Orelmaslo reaches about 21 thousand documents a year of most of which part (about 12 thousand) is made by incoming documents. Keep reliable and complete account manually – very difficult task. With paper archive inconveniently and long to prepare for checks of FTS, to carry out reconciliations with partners. For automation of these processes in Orelmaslo installed the Scan Archive program.

It is the development of GENDALF company intended for accounting and control of existence of primary documents which scans are automatically attached to 1C base. Thanking "Scan Archive" in Orelmaslo solved several problems at once.

First, simplified storage and document handling: now all current document flow, since January 1, 2019, remains in electronic storage. It is possible to browse any document, without rising from a workplace. Only access from the system administrator is necessary.

Secondly, it became simpler to keep account of existence of "supporting documents". The program fixes existence of originals or copies of documents on each partner. Before the Scan Archive installation paper registers for this purpose were required.

Thirdly, the program automated work on entering into base of documents between divisions of the company. The risk began to lose data minimum, and on sending documents from divisions in head office now it is almost not necessary to spend time.

"Scan Archive" helps with the solution of our main "pain" – with preparation for counter checks and answers to requirements of FTS within cameral verifications of declarations on the VAT. With a new system we do not need to collect a document package manually as all information is visible in base. If the scan of documents is attached to operation on the partner, then the line will be surely highlighted in the color. Introduction of barcoding of agreements also reduced time for formation of a response document package in FTS. Similarly our interaction with partners became simpler.
