Sergey Poltev, EOS Group: forced "udalenka" as "coercion to digital transformation"

Transition to "udalenka" is a significant corporate transformation. What in it has most the greatest value: technology base or organizational procedures?

Sergey Poltev: I think, it should be taken into account "remote work" at the same time in several aspects: managerial, technology and legal. From the point of view managerial, obviously, there are features of communications in the remote mode. Regardless of specific types of communication, it is also obvious that the organizations which are actively applying technology means of communications, for example, a video conferencing of a document management system and corporate content, got today noticeable advantage as there was already a certain experience and traditions of interaction using technical means.

Sergey Poltev: The answer is obvious – there is no choice, it is necessary to implement urgently in practice what already long spoke about. In fact, for many organizations the situation with a pandemic became the trigger which started real "digital transformation". What difficulties expect it on this way? In general, absolutely standard for any implementation project of an information system, plus severe financial constraints and a permanent time trouble.

Than the IT companies can help with this situation?

Sergey Poltev: Create the most comfortable conditions for work in return: provide special financial conditions, render the methodological help, share the best practices. Well, and kind of it is banal did not sound, to provide high-quality services and products, to accurately fulfill all stipulated obligations. In recent days we, of course, discussed the developing situation with many customers, Chief information officers, heads of IT services. Perhaps, it is not too modest to give such responses in connection with a product of our company, but it, really, the general opinion, and our many customers are ready to confirm it.

Sergey Poltev: We offer the help as acting, and to potential clients. The action extends to software EDMS "CASE" and EOS for SharePoint. In fact, for the acting clients participation in an action is an opportunity in the shortest possible time to expand a circuit of joint work and document flow (that, was most often planned, but date was postponed). The complexity of fast scaling of a system strongly depends on each case, in particular, from readiness of IT specialists and infrastructure, features of the automated processes.

Whether in a format of the remote mode legally significant document flow will be available? Functionality of problem definition and control of performing discipline? Electronic archive?

Sergey Poltev: Certainly, "the remote mode" does not limit functionality of our solutions. As for, archive, here after return to usual life, to all of us the problem of ordering and structuring all event during isolation still is necessary, to systematization of paper documents, for example. I hope, for users of our systems the task will be slightly simpler as the mechanism of parallel operation about the scan copies and paper originals and is well fulfilled long ago.

Mass departure of employees on "udalenka" is "rupture test" for Information Security Service of the company. How does this aspect affect security of the most corporate EDMS and access control of remote workers to the centralized resources like electronic archive, the database of primary documents, etc.?

Sergey Poltev: In fact, "the mass udalenka" is an extreme option of the geographically distributed organization. EDMS Affects safety of our clients minimum as solutions on the organization of secure channels, enciphering data long ago and are well fulfilled.

What practical "skilled" you can give advice the companies which are only going suit full-fledged remote office?

Sergey Poltev: It is unlikely the example of our company will be demonstrative – EOS Group continues to operate normally, using technological solutions and the accumulated experience. And in general, the IT companies pass these tests minimum loss. As for "full-fledged remote office", perhaps, the suitable scenario is a step-by-step connection of necessary tools, taking into account spontaneously established practices of work with the help of messengers and e-mail.
