At the beginning of 2006 in the advertizing and production agency "Sfera" (St. Petersburg) the CRM system "the COMPASS was put in operation : Marketing and Management"

Software Selection

In 2005 the Management "RPA the Sphere" came to a conclusion that further increase in efficiency and competitiveness of business, requires implementation of the modern CRM technologies allowing to raise a deduction percentage of clients. With respect thereto the agency began to select a suitable CRM system. Such software packages as "MS CRM", "Terrasoft CRM", "1C CRM", "were considered by Intalev: CRM", "COMPASS: Marketing and management", "Sales expert", "Doctor Bormental", "Russian managing director". Two main selection terms were formulated. First, an opportunity to customize a system under the individual specifics was important not to lose the know-how acquired in time existence of the company. Secondly, a system had to be installed in the local area network of the agency  — lease of applications via the Internet did not conform to requirements to information security.

From a response of the chief executive "RPA Sphere"   A.Yu. Guseva:
CRM system "COMPASS: Marketing and Management" showed the best results regarding setup opportunities. The broad spectrum of functions of a system was an additional argument for benefit of the choice: in addition to classical CRM functionality, it allowed to solve all problems with release of primary documents, to organize business process management and even to solve a part of accounting problems …

General Description of the Project

The first project implementation phase took only one month. Terms of reference it was prepared by the chief executive of the agency. On its basis forces of the working group consisting of one consultant of KOMPAS company and the RPA Sphere system administrator did all individual preferences necessary for start of the CRM system in commercial operation in workplaces of sales managers, heads of departments, office managers and accountants.

Using the CRM system "COMPASS: Marketing and Management" after end of the first stage the staff of the agency could solve the following main objectives:

  • maintaining client files and contact management;
  • calculation of a variable part of salary of sales managers;
  • accounts receivable management;
  • release and accounting of primary accounting and managerial documentation.

Further as required the changes connected with development of procedures of customer interaction and the principles of management of motivation of employees were made to settings. And the main part of works (screen and printed forms) was done by forces of managers of the company, without involvement of professional IT specialists. In 2007 the control automation stage business processes based on tough standardization of an order of preparation and document approval began. DocFlow routes were for this purpose configured.

As a result of a realialization of the CRM system project it is set in workplaces of onovny staff of the company, including designers and production workers.

We can refer sharp decrease in receivables and full control over flows of primary document flow to the main effects gained today from implementation of "COMPASS" ….

Some Specific Features of the Project

  • In implementation process of the first stage of implementation transition from information analysis by the client characteristic of the drawing version of the CRM system "the COMPASS was performed: Marketing and Management", to the analysis by "client / order" (the job order system of work).
  • Forces of employees of the Customer at the second stage configured a number of routes for control automation by business processes.
  • In "RPA the Sphere" using the CRM system "the COMPASS: Marketing and Management" are automated not only classical control functions by customer relations, but also a part of functions of accounting and management accounting.
