2020: Automation of accounting of transportations of especially dangerous loads

1C-Rarus announced on January 29, 2021 that its project team completed automation of accounting of transportations of especially dangerous loads in Castor company. Using 1C: Transport logistics, forwarding and control of CORP motor transport accurate accomplishment of transportation schedules of oil products, fast formation of documents on closing of month is provided, errors and inaccuracies of calculations are excluded. Transparent accounting of buses and units is organized, the schedule system of repairs is implemented, expenses on unscheduled repairs were cut down for 10%. The management possesses operational information about a company performance and financial performance, management decisions are made timely and effectively.

In work with customers the accurate adherence to deadlines and diagrams of accomplishment of transportation, reliability and responsibility for the work is important. For high-quality rendering services the tool of competent control of transport and work planning of vehicle fleet is necessary.

We came to understanding that it is necessary to upgrade our accounting system. It is important to analyze indicators of work here and now and to react quickly management decisions. Work of personnel needs to be concentrated on operational tasks, but not to spend working hours for measure calculation and preparation of reports.

Earlier for accounting the software product "was used by 1C: Control of motor transport", the work plan of vehicles was reflected in spreadsheets.

In the organization of accounting there were difficulties

  • Possibilities of 1C: Control of motor transport were used partially, competent approach to implementation and start of all necessary functionality was required.
  • Information on the actual execution of works arrived with delay, it was difficult to assess a situation on an adherence to deadlines and amounts of works, there was a risk of financial losses.
  • Labor-intensive process of filling of data and calculation of key indicators.
  • The need for building of logistics of transportations was not solved by means of the available software.

The decision on start of the project on automation was made. The main selection term of the contractor — experience with the motor transportation enterprises, good knowledge of data domain, understanding of difficulties and ability to solve them. A choice was made for benefit of 1C-Rarus company. We felt competent approach and an ekspertnost already at a stage of determination of tasks and the choice of the software. The project was implemented on solution 1C: Transport logistics, forwarding and control of CORP motor transport.

Works on implementation were conducted by a project team 1C-Rarus jointly with specialists of IT department of Castor. The unified information system integrated work of 100 users of the enterprise.

Results of Implementation:

  • In information base 1C: The transport logistics, forwarding and control of CORP motor transport is implemented schedule system. Annual and monthly plans are formed. The manager possesses in advance information what resources are necessary for daily accomplishment of all amount of works, and prepares cars for an exit. Actual data about accomplishment of transportation are entered into the system from waybills. The plan-fact analysis on the performed works forms automatically, the management quickly reacts to deviations from the plan. Probability of penalties for non-performance of terms is minimized. Customers appreciate reliability and a responsible approach to work therefore build long-term relationship.
  • Within the project calculation of rates is automated. It was succeeded to exclude an error probability at cost determination of works. Formation of the register of the rendered services and the statement of way bills happen quicker. Information on the planned financial receipts is available to the analysis to top management of the company even before carrying out the closing documents.
  • The functionality on accounting of vehicles is expanded. Except basic data on the car in a system account of documents on each piece of equipment is kept, validity periods of policies of the CMTPL, the COMPREHENSIVE INSURANCE, checkups are controlled. The program beforehand reminds of replacement or prolongation of documents. Cases of outages of technology because of problems with documents are minimized.
  • Service books for each model of motor transport are entered in the program. Works on replacement and service of nodes are conducted according to the specified terms and recommendations. The diagram of carrying out TO is painted. The number of unscheduled repairs and expenses on them was reduced by 10%.
  • Accounting of buses and units is organized. On each position the serial number, installation term, the diagram of service and replacement is stored in the program. It is controlled behind respect for frequency of replacement, a clear understanding and requirements planning appeared.
  • The direction of forwarding activity is automated. In a system orders are fixed, selection of vehicles is executed, runs form. Competent planning and management of transportations provides stable growth of orders for transportation.

The project deliverable unambiguously met our expectations. We completely control a situation and we manage solutions. Any deviations from the plan are expected and prevented, but are not solved a post factum when there are already problems and financial losses.
