2021: Implementation of the Office FlexiSpace booking system

March 31, 2021 it became known that the company SystemZ introduced the Office FlexiSpace job booking system at HeadHunter. As a result of the project, employees are provided with safe access to the office during remote work. Reporting on job bookings is set up, seating density is controlled, and room congestion is monitored. The system was deployed within 5 working days.

During the period of remote work, the company was required to organize a periodic exit of a small number of employees to the office, to create the necessary security measures. The main task that needed to be solved was to provide attendance control, in which the simultaneous number of people in the office is predictable. In addition, seating density control was required - due to the presence of a visual office diagram and the arrangement of tables available for booking.

With the Office FlexiSpace solution, hh.ru employees can book their workplace in advance before entering the office.

Office is FlexiSpace suitable for companies that are faced with the problem of organizing a hybrid work scheme for employees, organizations that are forced to partially switch to remote work. The solution allows the company's employees to quickly and easily book a workplace in the office, while complying with the requirements for maintaining social distance.

SystemZ experts, together with representatives of the customer, introduced and configured the solution. During the project, partner employees brought part of the floor plans into the system, placed desktops in virtual mode. The customer's specialists performed the work on establishing the remaining part of the plans on their own, using the built-in floor designer. Also, in accordance with the concept of CSR (corporate social responsibility), it was possible to install marks on the virtual map of the office indicating collection points of various factions in designated places.

As a result of the implementation, the Office job reservation system FlexiSpace implemented as a SaaS solution and launched. In addition to the web client, a chat bot for Microsoft Teams was introduced so that employees can manage job bookings directly (including from mobile phones). In Power BI, reporting on job bookings has been set up.
