2021: Automation of occupational safety processes

The company Volga-Automatics"" implemented a project on the automation of labor protection processes based on the solution "Safety and labor protection systems for 1C: Enterprise 8." This was announced on April 20, 2021 by the company. 1C-Rarus 7 legal entities are connected to work in the system as of April 2021, implemented integration with the decision "." 1C: Salary and Human Resources Management The process of conducting medical inspections, special assessment of working conditions and accounting, issuance of personal protective equipment has been optimized. The time for creating lists of persons for medical examination and requirements for the issuance of personal protective equipment was reduced to 1 minutes.

The company pays great attention to working with personnel, in particular labor protection. With the expansion of the business and the increase in the number of employees, labor protection specialists began to have difficulties, primarily related to the analysis and preparation of a large number of paper and electronic documents.

For example, personal protective equipment (PPE) was recorded only in paper form in the "Personal Issuance Records," which led to high time costs for the processing of documents, as well as errors due to the human factor.

It was not possible to correctly calculate employee PPE requirements due to the lack of consideration of item sizes and characteristics. Job registration and preparation for the Special Working Environment Assessment (SOPs) were hampered by the difficulty of analyzing paper documents, staff status requests (SR) and staff rotations.

The planning of medical examinations in all 7 organizations was extended for several days, which was primarily due to the time-consuming process of preparing an extensive list of contingents and lists of participants.

It was not possible to obtain real-time information on staff changes and staff rotations.

In 2020, it was decided to create a single automated system based on the product "Labor Protection for 1C: Enterprise 8," which would allow:

  • Organize the registration of medical examination data in electronic form.
  • Automate workplace accounting and preparation for SOUT.
  • Automate the control of staffing changes and automatically create tasks for occupational health professionals.
  • Maintain an electronic calendar of tasks and activities for the HSE specialist.
  • Automate the accounting of workwear and PPE according to the norms taking into account the size of employees.
  • Go to accounting of "Personal records of workwear and PPE" in electronic form.

The project was launched in September 2020. The Kazan office of 1S-Rarus, with the support of specialists from Inform Consot, was a partner in the implementation of the project.

Historical data has been transferred for all organizations. The list of contingents for medical examinations, as well as standards for the issuance of clothing and PPE, were revised and updated.

All data and rules have been transferred to the system. Now, lists of persons for medical examination and requirements for the issuance of CO and PPE are formed in 1 minute, which saves the time of HSE specialists, and they can focus on higher priorities. According to the schedule, data are exchanged by departments, individuals, employees, their condition, staffing table and other information necessary for accounting. The results of the ITMS are entered into the system using processing, after which a single report is automatically created.

The effect of saving the time of employees by reducing the labor intensity of operations is observed in all automated processes: SOUT, MO and PPE.

Before the implementation of the software product, most documents were formed in the form of tables and were most often stored in paper form. It took a lot of time to design and fill them, transfer from a paper medium to an electronic one. Now reports are generated automatically, which saves a lot of time. After the introduction of the Labor Protection program, the time for planning and organizing medical examinations, keeping records of the results of medical examinations, and forming the necessary reporting documents was significantly reduced. Integration with "1C: Salary and Human Resources Management" allowed us to always have up-to-date data on all employees of the enterprise in the new system,
said Galeeva Leisyan Ildarovna, occupational safety specialist.
