Use of P7-Office Cloud Service
The Volga Media School (Nizhny Novgorod) solved its tasks of organizing employee collaboration using the R7-Office cloud service. This became known on December 15, 2021. In addition to the expected effect - established collaboration - the R7-Office service brought the Media School additional benefits.
Prior to the implementation of the P7 office in the Volga Media School, a cloud service was used to collaborate with documents, plan tasks and monitor their execution. When the issue of transferring employees to a remote mode of operation arose in 2020 due to the pandemic, the leadership of the Media School needed to find the most functional and convenient solution.
At the time of the lockdown, it turned out that the solution used did not quite fit our needs, "said Olga Baranova, development director of the Privolzhskaya Media School, the service interface for planning the simplest actions turned out to be difficult. For example, the employee spent 2 times more time than was required to set the task, and then monitor its implementation. This was especially true for beginners who took a long time to "master" the service. |
Olga Baranova also added that another inconvenience of working in the system was that the process itself was not "automatic": first they created and edited office documents on computers using desktop office software, and then uploaded documents to the design module of the system used.
That is, only one specialist or several - in turn - could make changes to the document at the same time.
There were also problems with the operation of the notification system in the service: often the message that the client left the application on the site was received with a significant delay, which affected sales.
We were looking for an "easy," but at the same time a rather functional solution for simultaneous remote work of employees, "said Olga Baranova. - It was important for the management of the company to use the calendar tool for collaboration, since business processes educational the organizations depend on the calendar time. They pinned hopes on foreign online platforms, but in fact it turned out that they were not entirely convenient for us: in particular, due to problems with, authorization since not all employees have an account even in the most popular systems. |
As a result, it turned out that there are not many solutions in the market that would fit the requests of the institution. The favorite was the service "P7-Office."
In the Media School weekly gliders are held, as a result of which documents are formed on the work of the institution. For example, a single performance table. It is important that employees, including the CEO, can open them remotely. It is also necessary to quickly register all changes in the listener database. However, it must be available in the cloud so that it can be accessed at any time. Employees also actively use the document on the burden on the audit fund. Several colleagues may need access to this document. All this Media School receives with the help of "P7-Office."
The introduction of the product into everyday practice took six months in the Media School - exactly how long the free trial period of using P7-Office lasts. In the summer of 2020, employees were already able to begin the full use of the service - to master the main functions. The transition from test mode to "combat" did not cause difficulties. "The implementation process of P7-Office took from two weeks to a month," said Olga Baranova. - largely due to the intuitive interface. Ease of learning is a very important factor. "
Of all the capabilities of the P7-Office platform in the Media School, the Projects module is most actively used. The module is convenient in that all the functionality of the company can be divided into projects and, within the framework of these projects, combine the documents necessary for work with different access rights of employees. The business processes of the Media School are divided into children's direction, adult, accounting, economic, etc. Each direction is a project. Responsible employees are assigned to them who monitor the workflow and work with related documents. Tasks are set, the progress of their implementation is noted - this is how the company's management monitors the level of employee load. In accordance with the directions of work, user groups have been created in P7-Office. The service actively employs 7-8 people. One employee can participate in several projects at once. In addition, management can now monitor plans at any time, monitor internal processes in the company, and as a main result, students receive high-quality educational services.
The media school plans to expand the use of the P7-Office platform, putting into full practical operation new modules of the system. There are plans to connect teachers to the P7-Office service.
Transition to P7 Office
The private educational institution of additional vocational education "Volga Media School" July 20, 2021 announced the completion of the transfer of employees to the Russian office software "R7-Office." The introduction of a domestic solution helped systematize business processes and optimize work with students of the institution.
The integration of P7-Office was the result of a lengthy selection and testing process. The Volga Media School was looking for a solution that allows employees to work with documents at the same time. The issue of sharing was especially relevant for the institution after switching to remote work in 2020.
During the testing, experts tested a number of foreign and Russian solutions, but most did not qualify for the final due to excessive functionality and an interface difficult to perceive.
Due to the fact that the business processes of the educational organization depend on the calendar time for the company management, the ability to use the calendar as a collaboration tool was a separate priority. P7-Office turned out to be one of the few solutions that met this requirement.
The choice of domestic development was also facilitated by a free trial period of 180 days, during which school staff managed to get used to work in the P7-Office applications, and management to see the effectiveness of the toolkit in practice.
