2021: Transition to e-HR with HRlink platform
Erkafarm Group of Companies on September 23, 2021 announced that it was switching to electronic personnel document management using the HRlink platform. About a thousand employees of one of the legal entities of Erkafarm now receive orders for vacations in electronic form. In the future, all brands of the group of companies will switch to a completely paperless personnel document flow.
In September 2021, Erkafarm employs about eight thousand people, and the team is geographically distributed throughout Russia. Even within the framework of one legal entity, pharmacies can be located in several regions of the country. Because of this, it takes too long to prepare, sign, scan, and mail paper documents. Thus, an employee can spend up to two person-hours to agree on one vacation application, and an HR specialist can spend up to 15 minutes.
In order to reduce the "paper" load on workers and organize more convenient remote interaction with them, it was decided to automate this process. To switch to KEDO, the HRlink platform was chosen - a paperless document management service that allows you to sign all types of documents electronically, including relationships with self-employed ones.
In the HRlink system, you can sign documents using an unqualified digital signature that is generated directly inside the service. Each employee receives a personal account and can create and sign files in several clicks.
At the first stage of the project, Erkafarm partially translated into a figure the personnel document flow in one of its legal entities. The process of transition to KEDO took about two days of work of the IT team and did not require major changes to the company's IT infrastructure.
As a result of the pilot, about a thousand employees of the pharmacy chain now receive electronic leave orders. The document is created digitally in the HRlink system, and a finished file link is sent to the responsible HR specialist. The company managed to reduce the time for scanning and forwarding papers, as well as reduce the number of iterations in the preparation and approval of orders.
