2017: WSS Docs-based office automation and document management

In 2017, Sberbank Life Insurance introduced the WSS Docs electronic document management system. The project included automation of office management processes and contractual document management. Before the implementation of the system, all documents in the company were created, agreed and signed in paper form. Digitalization reduced the time spent by more than 400 employees on routine operations and accelerated document processes. Including:

• Inbound and Outbound Documents
• Orders
• Orders
• Minutes of meetings
• Instructions
• Contracts and addenda
• Powers of attorney

The module electronic signature allowed the company to accelerate process of signing of contracts and agreements, orders, orders and outgoing documents. Due to the automatic formation of file visualization the electronic signature of the employees responsible for the registration of documents, it was possible to free themselves from routine operations. Such as:

• Download signed files
• Placement of registration numbers, date and visualization stamp of electronic signature (EP)
• Convert files to.pdf extension
• Load the generated visualization file into the document card

The automation project allowed the company to reduce the amount of paper in the internal document flow, combined the work of employees into a single information space with regulated rules and deadlines for processing documents, due to which the approval process was accelerated and it became possible to control the executive discipline of employees.

In 2021, the company implemented a solution for integrating WSS Docs with the SBIS EDO service for exchanging informal outgoing letters and contracts with counterparties. The development of the system continues. The company also plans to implement the WSS Docs mobile application for viewing and coordinating documents remotely.
