Implementation of the system for planning the work of online order pickers

Data-Office specialists of the Lenta Online delivery service completed the implementation of their own system for planning the work of online order pickers and scaled it to all hypermarkets of the Lenta network throughout Russia. The company announced this on September 26, 2023.

Previously, the schedule of personnel was drawn up manually, taking into account the average number of orders collected by one picker, which could lead to inefficient use of resources.

When developing the optimization algorithm, the following historical data were taken into account: the number of orders in a particular store every hour on weekdays, weekends and holidays, seasonal factor, the presence of promotions, the duration of the shift, the minimum and maximum number of pickers in the shift, as well as the average assembly time of one order. In addition, calculation parameters were used, such as the costs of assembling one order and the wages of the picker.

Taking into account the current data array, the optimization model understands how many pickers should be put on shift and how profitable it is for the company to attract an additional number of employees to assemble more orders. The forecast is recalculated and optimized on a daily basis based on the data received by the system for the comparable past period and the promo plans planned for the future.

The use of the resource optimization system and the multiplication implemented earlier allows Lenta Online to reduce CPO (Cost per Order) by up to 20% and increase performance by 17%. The system is flexible and integrated into the TMS (Transport Management System), which allows you to automate the process of personnel withdrawal for the planned number of orders.

When developing the system for optimizing the schedules of pickers, we were based on the calculation of the potential effect of its implementation, an assessment of the complexity of testing and implementation. The first tests showed a statistically significant reduction in the cost of assembling orders, which made it possible to bring the project to life. As a result, we got a great example of how Data Science teams and operations work together. MVP was made in a month, and stores began to receive new recommendations immediately after the test - two months after the start of the project. A year later, we launched a ready-made flexible system fully integrated into the company's main processes, "commented Dmitry Bodunov, Director of Data and Analytics Management for Lenta Online Services.

The multi-delivery algorithm is implemented in two services: Online TMS (Transport Management System), developed by the Lenta Online team, and open source VRP (Vehicle Routing Problem) -Solver. TMS receives orders, the system evaluates delivery resources, VRP calculates and builds the optimal road route taking into account the time and address of delivery, the road situation, weight and size properties of goods and the cost of using a car. This combination of services is unique to the country's delivery market.

The introduction of "multi-delivery" in combination with previously launched multiplication allows the company to save resources and increase the number of orders delivered by one courier by almost 45%.
