2021: Use of the Etla electronic document management system

The company RT-Tehservice LLC, which is part of the Rostec State Corporation, uses the Etla electronic document management system in its work. This was announced on December 23, 2021 by Atlas Soft.

Due to the specifics of RT-Tehservice LLC, the company uses a large amount of various documentation - administrative, design and technical, financial. A significant part of it is used digitally, so the management of RT-Tehservice LLC decided to introduce an electronic document management system.

The main task that the SED was supposed to solve was to automate working with documents in order to increase the efficiency of management processes. The company's specialists prepared a detailed technical task, in which they listed the requirements for the SED.

The system shall, inter alia:

• Comply with the Single Repository of Electronic Documents policy
• provide access to data only to authorized users, taking into account their official authority and the category of information requested ;
• Have a centralized mechanism to prevent users from deleting documents
• ensure documentation and recording of processed information and user actions;
• Make it possible to quickly search for necessary information both by attributes and by text content;
• Provide work with different types of files
• support automatic actions with documents - registration, numbering, naming, creation and design based on templates, etc.;
• support teamwork with documents;
• Be able to manually and automatically export and import documents, including from the scanner.

Also, the terms of reference formulated the requirements for the functionality of the SED in terms of monitoring executive discipline, creating standard reports, classifiers and directories, and capabilities integration with other software systems of the company. Separately, the requirements for ergonomics and system reliability, licensing and patent purity, warranty and maintenance conditions, and others were listed.

The electronic document management system " Etla" version 6.6 satisfied all the requirements, and experts of RT-Tehservice LLC chose it.

During the SED deployment, the following activities were carried out by the company's specialists with the support of Atlas engineers:

• The system software was installed on the company server and the initial configuration was performed;
• 1C: Accounting and 1C : ZUP programs are integrated into the electronic document management system ;
• online training of employees.

The effect of the introduction of the electronic document management system manifested itself immediately: labor and time costs for working with documentation decreased, executive discipline was strengthened, and the number of errors in processing large document flows decreased. The innovation was positively appreciated by all employees of the company.
