2022: Implementation of Directum Ario Intelligent Services

Teploenergo JSC uses Directum Ario intelligent services in the process of digitizing primary accounting documents to fill the electronic financial archive. The time to search and receive a copy of documents for checking the Federal Tax Service has been reduced from 2 days to 3 minutes. This was reported on February 11, 2022 by Directum.

The supplier of thermal energy in Nizhny Novgorod receives about 30 thousand primary accounting documents every month. At the same time, 90% of the PUD comes on paper. As part of the transition to tax monitoring, the company needed to create an electronic financial archive (EFA) and digitize primary documents for 2021 by January 1, 2022. Processing PUDs using artificial intelligence allowed to accelerate these processes and meet the deadlines.

Teploenergo employees already have positive experience with Directum. The first processes were transferred to digital the form back in 2013. Therefore, Directum Ario intelligent services were chosen to digitize PUDs. Among other features of the solution are the ability integration 1C: ERP with and effectiveness of extraction data recognition on similar projects.

To automate the filling of the electronic financial archive, Teploenergo uses several Directum solutions: the Financial Archive, the Document Entry Service, the connector GSI to and Ario services, which automatically process document flows.

Prior to the introduction of intelligent services, responsible persons had to sign and coordinate PDAs from counterparties on paper. Then the documents were transferred to accounting for inclusion in accounting and then to storage in a paper financial archive. At each stage of the PDA, paper copies were fouled, to control their movement, employees had to maintain registers of the transfer of originals.

After inclusion in the Directum Ario process, handmade papers became several times smaller. Document scans are routed to a dedicated network resource and email address. The input service then generates the document flow for processing and sends it to Ario services.

The project team has set up intelligent processing services for documents:

  • consignment note;
  • Invoice
  • Correction invoice
  • DPA;
  • KS-2 form;
  • act of works performed.

Intelligent mechanisms extract and transmit key details to the document card: date and number of the contract, counterparty, tax tax, amount, VAT and other data. When processing kits, the system can complement the missing details from different documents.

According to IT experts, Directum Ario services showed Teploenergo the quality of information recognition. The completeness of data extraction was 87%, and the accuracy of document classification was 95%.

As a result of the implementation of the financial archive and intelligent Ario services:

  • The time for preparing and passing tax and internal inspections was reduced. Instead of 1-2 days of searching the paper archive and receiving a copy of documents, the process takes 1-3 minutes - so much is needed to find scan copies in the electronic archive.
  • Accounting got rid of part of the monotonous work. Qualified specialists have more time to perform analytical tasks.
  • The cost of paper, cartridges, and the content of space for storing a paper archive decreased by 3 times.
