2022: Electronic archive for working with paper archive

On March 11, 2022, Etlas-Soft announced that Fortis (Moscow), which provides archival storage services for documents, uses the electronic archive "Etla" version 6.6 in the "Pro" configuration to work with the warehouse of paper originals.

Fortis is developing one of the services in demand in Moscow - archival storage of documents. The warehouse complex located near the Third Transport Ring in Moscow serves as the basis for processing and storing documents. Accounting of documents stored in the warehouse, quick search for the necessary ones and providing access to them are the key competencies necessary for activities in the archive business. Electronic archives allow you to effectively solve all these problems.

Fortis specialists opted for Etla software. It allows you to work not only with electronic documents of any format, but also with a warehouse of paper originals. This function is implemented using the Archival business plug-in. It allows you to keep records of cases and cases with cases, control their storage in the warehouse, work with delivery lists and requests for issuance and fully automate the process of archival maintenance of third-party counterparties.

Also, the functionality of the electronic archive "Etla" version 6.6 was further expanded using the modules "Working with barcodes" and "Automatic recognition of attributes." The use of barcodes speeds up the identification of paper copies of documents in the system. In turn, the "Auto-recognition of attributes" module is focused on mass high-speed entry of documents both from a set of scanned images on a local disk and directly from a scanner with auto-feed.

Etla specialists examined the current document flow of Fortis, received information about the types of documents, users, reference books, etc. This made it possible to formulate a detailed terms of reference and agree with the Customer on a list of preliminary settings. Fortis specialists implemented the system on their own. After installing the software, it was prepared for operation:

  • users are added to the system and user groups are formed, access rights are configured;
  • document storage structure and archive reference apparatus are formed;
  • Document cards and their automatic attribution have been set up
  • document templates have been prepared.

Technical support specialists "Etla" instructed the customer's employees, told them about the methods of effective work with the system. With the software, the archive has become more efficient, while Fortis customers have the opportunity to work with their documents directly.
