VkusVill transforms hiring process with ATS Potok

2022: Implementation of the ATS Potok Candidate Management System

The company VkusVill"," a federal network of stores of products for healthy eating and a delivery service, completely transformed HR-processes by introducing a system for managing candidates ATS Potok Russian for developer HRTech solutions. As TalentTech a result , in four months, the company issued more than 1,600 cashiers-pickers for darkstores. This was announced by TalentTech on June 17, 2022.

VkusVill needed to rebuild HR processes: darkstors were opened and the need for new employees increased. Therefore , VkusVill decided to automate the process of recruiting and hiring personnel for mass positions by introducing ATS.

When choosing an automation system for working with personnel for VkusVill, several factors were important: the presence of a selection funnel, deadlines for vacancies, the ability to form analytical reports, simple and intuitive work with the candidate base. Also, the system was supposed to seamlessly integrate into the company's infrastructure. ATS Potok met these requirements.

One of the tasks faced by ATS Potok was to help recruit and hire personnel for the mass position of "cashier-picker." The main difficulty was that the requirements for the vacancy: the conditions of the internship, the opening dates and the schedules of the staff, differed depending on the darkstore. The recruiter needed to correlate data about the candidate with the description of the vacancy, offering the most suitable option. Without a built-up automated process for processing data about the applicant  and darkstors, an HR specialist could make mistakes: offer the candidate inappropriate conditions or not take into account the location convenient for the applicant.

ATS Potok was customized for the needs and tasks of VkusVill. Each recruiter, working at ATS, could focus on current job data, rank them by district and immediately offer the applicant the conditions possible for him. An interactive map was integrated into ATS Potok, with the recruiter seeing burning positions on the store map and offering darkstor for interviews right on the call. The recruiter could also enter the candidate's address and see current vacancies nearby, the total number of open items, work schedules and comments on the specifics of a specific point.

What the process of work of the HR specialist "VkusVill" in ATS Potok looked like:

  • HR created a vacancy in Potok and published it on work sites,  all-social networks and other sources;
  • ATS Potok collected responses from applicants from job sites and the official VkusVill website and added candidates to the system;
  • HR specialist communicated with candidates and appointed interviews, offering the necessary conditions depending on the location within which the candidate will work. Vacancies were displayed on the store map, so that the recruiter saw positions on fire and offered the candidate a specific store to interview on the call;
  • the system moved candidates by stages of selection;
  •  ATS Potok formed a specific analytics for each customer, object and department.

With the help of ATS Potok, VkusVill has transformed the process of work between business unit managers and HR. Communication between customers and performers took place inside Potok, which accelerated the coordination of candidates.

As a result of the transformation of HR processes and the implementation of ATS Potok, the following results were achieved:

  • from January to April 2021, 1,600 cashiers-pickers were hired;
  • retail staff service closes from 50 to 70 vacancies per day;
  • the selection door has become more transparent;
  • time for processing a suitable candidate was reduced - up to three minutes;
  • the average processing time now does not exceed 30 minutes from the moment of arrival/response.

The company is actively developing, so we constantly experience a need for personnel and regularly face new challenges. So, during pandemic restrictions, we quickly rebuilt HR processes thanks to the implementation of ATS Potok. Now all search and matching tools are in the same system: candidate base, work with customers, communication with applicants, process analytics. In addition, the selection process and the entire path of the candidate have become transparent to all parties: resellers, recruiters and customers,

For VkusVill, not only the standard recruitment assistance package was configured. For the convenience of mass selection in VkusVill stores, ATS Potok has set up a single interface, an interactive map and a database of candidates. Of course, such point-by-point automated work with a candidate greatly reduces HR time to communicate and find a suitable position, which means it significantly reduces the time of primary communication with a candidate and reduces the outflow that can occur due to long routing.
