2022: Transition to paperless HR document management on the HRlink platform

On June 29, 2022, HRlink announced that the VOXYS communications center had switched to paperless personnel document management on the HRlink platform with the participation of the Areon integrator. As a result of the project, more than 7,000 employees of the company in 34 regions of Russia can remotely draw up personnel documents.

As reported, due to the rapid development of the business, VOXYS HR service faced the need to optimize the hiring process. The task was complicated by the fact that VOXYS HR specialists had to draw up a larger number of documents than with the standard admission procedure: a student contract was first concluded in contact centers with an employee, and only after passing the test period - a labor contract. Moreover, most employees during the active stage of the pandemic had to interact remotely using couriers. As a result, the burden on the HR department and the costs of paper paperwork increased.

VOXYS decided to abandon paper in HR and take part in the experiment of the Ministry of Labor on the transition to electronic personnel document management (KEDO). To implement the project, the HRlink platform was chosen, which allows you to sign documents online from a computer or smartphone using an electronic digital signature (EDS) or ESIA Public services account .

To ensure the correct operation of most FEDO services, it is necessary for each employee to issue an electronic digital signature on a flash media. It's resource-intensive. As of June 2022, more than 7,000 employees of all 36 contact centers have already been registered in HRlink. The sites that opened in Orenburg, Naberezhnye Chelny and Kaliningrad immediately began to work with the electronic document management system.

As a result of the project, VOXYS began to save two thousand rubles annually on the preparation of documents for each employee. In addition, paper consumption has decreased, which is extremely important for the development of the VOXYS ESG strategy. The HRlink platform also made it possible to optimize the process of paperwork within the organization, to raise the performing discipline. Now it has become easier to comply with the scheduled deadlines for the admission and dismissal of employees in all regions of presence without a significant burden on the HR department.

The VOXYS HR team is actively involved in the development of the HRlink platform, the development and testing of system functions. In the future, VOXYS plans to connect updated service modules, in particular, those related to remote hiring.
