2021: Implementation of the information system based on "1C: Rental and Real Estate Management"

JSC BOTAI Development"" - developer of trade real estate Kokshetau and Akmola region of the Republic Kazakhstan since 1997. The total volume of retail space is over 38,000 sq.m. The company manages retail facilities: shopping center "RIO," trading house "Keruen," wholesale center "Rubin," shopping center "Ortalyk bazaar," market "Shayba" (data as of July 2022).

A portfolio of multiple properties requires a specific approach to the lease maintenance and control process. The main problems that affected the quality of facility management are the difficulty of monitoring the violation of payment terms and discrepancies in the determination of accounts receivable and contract terms.

To solve them and improve the efficiency of rental management, it was decided to implement an information system, for which the product "1C: Rental and Real Estate Management" was chosen as the basis.

With its help, it was necessary to automate the business processes of the enterprise related to the management of the real estate fund, lease management, and the formation of specialized analytical reporting.

To work on the project, the developer ELIAS VC was involved, whose employees solved the following tasks:

  • Adaptation of the industry solution "1C: Rental and real estate management" for "1C: Enterprise Accounting 3.0" under the legislation of the Republic of Kazakhstan;
  • Maintaining a unified register of real estate objects on the balance sheet;
  • Accounting of lease agreements with detailed parameters and characteristics of concluded contracts;
  • Formation of a register of lease agreements;
  • Implementation of receivables generation mechanisms in accordance with the terms of the contract;
  • Calculation and tracking of payment dates;
  • Implementation of a specialized deferral mechanism for payment of invoices;
  • Automation of the processes of forming invoices, certificates and invoices under contracts, with batch unloading of generated documents;
  • Automation of the procedure for calculating penalties upon receipt of payment;
  • Accounting of settlements with tenants;
  • Formation of a management reporting unit for effective management of the rental department;
  • Exchange with the accounting database.

Ultimately, the implementation of a system based on the 1C: Rental and Real Estate Management product ensured:

  • Storage reliability and data structuring
  • relevance of information on receivables;
  • reduction of labor costs for the formation of rental documents;
  • efficiency of reporting under the terms of contracts.

All this together made it possible to improve the quality of decisions made and the management of the company as a whole.

A distinctive feature of the project was that all the work by the performer was carried out exclusively remotely.
