2022: Introduction of Axelot TMS X4
The Axelot TMS X4 system helps Promtekhmontazh manage its own fleet. Axelot (Axelot) announced this on October 7, 2022.
The solution allowed you to automate route planning, collect up-to-date data for analytics and increase the efficiency of your own fleet.
Prior to automation, the transportation planning process was structured as follows:
- The sales department generated requests for delivery to customers, however, not always all important information was filled out correctly, and the shipment date was automatically set from the CIS according to internal rules.
- Route generation was carried out in a third-party service, the selection of requests for planning was carried out automatically. If the shipment date was incorrectly delivered or the requisition was corrected in the process, "extra" requisitions may appear in the planning or the necessary ones may disappear.
- Drivers had a mobile client, which, however, some drivers used as a "simplified" route sheet, without making any marks on movement in it.
- If necessary, the logician manually inserted the point into the route to automate the cargo intake from the supplier, without forming a request for the cargo intake in the CIS.
Before the introduction of TMS, repair work was carried out according to the order-order provided. The work order was formed in the CIS and handed over to the locksmith, and if the document was not timely drawn up, then the appointment for work was carried out upon call. The mechanic, after the fact, entered information on the work carried out, and in order to enter the materials spent on repairs in the CIS, you had to manually search for the necessary names throughout the list of items, including items supplied to customers (50,000 + items). Accounting for tires, batteries and other units was completely absent, which led to the opacity of expenses for its own fleet and did not allow to receive the necessary analytics.
Thanks to the use of AXELOT TMS, it was possible to build the process of correctly selecting applications for transportation on the CIS side for planning. Previously, the logist worked with a general list of applications, which included applications that were incorrectly drawn up. Now the logist sees all the applications and knows which of them fall into planning. Applications that change their status are updated in TMS in real time, automatically pass the verification of the correctness of filling and if the verification is unsuccessful, the application is excluded from the list of applications in work. The flight planning process is also automated.
It is possible to update the flight after it has been planned - the system allows you to add additional tasks to the driver and update the composition of the cargo place. When updating the flight, not only current data on cargo places are pulled into the document, but also additional tasks for the driver that will need to be completed on the route, for example, sign documents.
A mobile client was also introduced, which allows the driver to interactively report on the performance of the flight with an indication of accurate information about the unloading of cargo items, and the reasons for completing/non-fulfillment of certain tasks on the flight, which will further affect the driver's KPI.
According to the parameters of the flight (type transport of funds, mileage, delivery region, number of completed tasks), automatic calculation is carried out wages at the laid-down tariffs. At the end of the month, the KPI bonus is also automatically calculated, which depends on the percentage of the total number of points in the delivered deliveries and the percentage of the total list of additional tasks completed by the driver. Moreover, if the driver cancels a task through a mobile client, he must indicate the reason for the cancellation. The reasons themselves were divided into respectful and not respectful. Thanks to this, the cancellation of the task through no fault of the driver does not have a negative impact on his KPI
The TMS cost accounting mechanism allows the company to correctly allocate all its expenses for flights and vehicles according to how much they worked during the month. The flexible reporting mechanism allowed the customer to see the full cost of flights due to the distinction between direct (driver's salary, fuel per flight) and indirect (maintenance of the transport division) costs. This, in turn, will allow the customer to correctly correlate the delivery regions and the price of their own products in these regions.
The mechanic now has the opportunity to work in single window mode without the need to clarify information in the warehouse or at the locksmith. Clear control over the repair work has been ensured, it has become possible to keep records of tires, batteries and other units, with the possibility of taking into account their costs for them, as well as their repair and movement from one vehicle to another. A systematic approach to organizing work on servicing your own fleet and a well-thought-out user interface ensures not only accounting for the movement of each spare part, but also the availability of analytical information used in the formation of transport division budgets. Correct detail, completeness of accounting, timely availability - factors that minimize risk and labor costs during budget cycles.
The customer team took an active part in the project and performed a number of works on their own. Representatives of the customer performed integration CIS and TMS on their own, and also independently finalized the system in terms of updating the data in the Flight document. Thanks to the training, a IT responsible administrator has appeared in the customer department structure, who will quickly and timely support TMS users, as well as quickly and painlessly adapt the system to the changing one. to business process
