2022: Digitization of correspondence

On October 31, 2022, the Russian Post announced that it was engaged in digitizing correspondence for the Ministry of Digital Science.

Shipments are uploaded to the ministry's electronic document management system in compliance with all the necessary cybersecurity standards.

According to the Post, the digitization of incoming correspondence can reduce time and labor costs by at least 20% in the full document flow cycle. E-copies of letters are easier to distribute, sort, and also control the receipt of a specific addressee. At the same time, employees of the Ministry of Digital Science do not process paper copies, they are immediately sent for storage.

Correspondence marked "for official use" and "commercial secrecy," as well as with an overlaid payment, will not be digitized.

In 2020, at the height of the second wave of the pandemic, we had a hypothesis that the market lacked a service that would eliminate the need to receive correspondence at the department. We launched MVP and drove a test project with one of the partners. It allowed not only to reduce the cost of processing shipments, but also to leave some of the document management employees at remote work. For October 2022, we are increasing our digitization capacity in order to cope with the increased demand for our service, - said Roman Lutkovsky, head of product development at Digitization.

The Russian Post launched a pilot project to digitize written correspondence with the ability to download scan copies into client electronic document management systems in the fall of 2020. During the test, the Mail digitized more than 10,000 items, and after the commercial launch of the service in 2021 - more than 1,000,000 documents from different organizations. In 2023, it is planned to scale up the digitization service to most regions of Russia.
