2022: Implementation of electronic document management "Etla" version 6.6
The financial department of the Administration of the Leninsky Municipal District of the Volgograd Region uses the electronic document management system "Etla" version 6.6. This was announced by the company "Etla" on November 11, 2022.
The work of state and municipal institutions is strictly regulated. The documents accompany each stage of consideration of the problem, development, coordination and decision-making. At the same time, for each type of documents there is a different procedure for execution. Errors here can lead to the fact that the document at the next stage of work with it will be returned for revision - this is loss of time, delay in consideration, delays in solving the problem.
Electronic document management systems in such cases not only minimize errors, but also speed up the passage of the document along the path "preparation of a decision - approval and approval - execution - transfer to the archive." The choice software EDMS for introduction into the work of the Administration of the Leninsky municipal district Volgograd region was made in favor domestic of the development - the electronic document management system "Etla" version 6.6.
The installation and configuration of the EDMS software was carried out by the specialists of the software developer - the Etla company. The EDMS installation included:
- remote examination of the existing document flow of the administration apparatus - for this, employees of the institution were asked to fill out survey questionnaires, information from which was specified during consultations;
- installation of EDMS software;
- registration of user accounts in the system;
- building an archive structure in the system with distributed access rights for different users and groups of users;
- creation of cards of different types of documents;
- setting up rules for automatic naming, numbering and placement of documents;
- development and implementation of several customer-specified business processes.
After installing and configuring the software, Etla technical support specialists instructed the system administrators, answered their questions and gave recommendations for further work. The employees noted the simple interface of the program, assessed its capabilities to automate workflow and expressed the hope that the transition from manual processing of electronic documents to automated operations in the EDMS "Etla" will free the employees of the financial department from routine, reduce the number of errors and increase the efficiency of the entire Administration apparatus.
