2018: Building a unified electronic document management system based on "1C: Document Flow CORP"

Russian space systems - one of the leaders in the world of space instrumentation - in February 2018 announced the completion of the 1C system: KORP Document Management. 300 workplaces have been automated. The company's document management is now carried out according to unified corporate standards in a single system.

Project prerequisites

Previously, about 300 employees participated in document management processes, mainly managers and clerks, while e-mail and paper media were used. This made it difficult to share data between workflow participants.

The company needed a unified system of electronic document management, which would help improve the interaction between departments, reduce the time for the formation and coordination of documents, and strengthen control over the executive discipline of employees. In addition, this system was supposed to support the ability to exchange data with the systems used in the company on the 1C:Enterprise 8 platform.

What's done

To solve the tasks set on the recommendation of the federal automation partner 1C-integrator WiseAdvice-IT 1C: Document Flow , the 8 KORP system was chosen.

Based on the internal regulatory documents of the Customer, the system documents were set up, analysis, optimization and subsequent adjustment of the mechanisms for coordinating documents in the system were carried out, together with the customer, an access rights differentiation matrix was developed and rights were set up in the system. The system has been put into commercial operation. The system is supported within the framework of the support contract.

Project results

Document management of the enterprise is now carried out according to unified corporate standards in a single system. Unified procedures for the formation, processing and approval of documents. Thanks to the configured access rules, as well as the rules for working with documents, the user is deprived of the opportunity to perform non-routine actions.

The types of contracts and supplementary agreements are systematized. A unified contract numbering system has been implemented. Now any contract along with the scanned original can be found in the database in seconds.

For all employees, uniform time standards for performing certain operations with documents are established. Management in online mode receives statistics on the performance of tasks by employees. In this case, you can always track the timing and volume of work performed. This helped to strengthen the control of the executive discipline of employees and ensured the timely implementation of management instructions.
