2012: Automation of document flow based on 1C:Enterprise 8

Slavic bargaining, a manufacturer and supplier of consumer goods, switched to electronic document management in March 2012 using the software solution 1C: Document Flow of the PROF version.

Project prerequisites

In just 2 years of operation, the company has distributed a wide dealer network and its own retail outlets in Moscow and the Moscow region. According to internal estimates, the company's turnover has grown more than 10 times. A new area of ​ ​ activity was launched with the opening of a production site for household goods.

Since the number of counterparties also increased, it became difficult to control individual terms of cooperation, payments, validity periods and compliance with contractual obligations, without an automated system: there were delays, the company had to pay penalties. In addition, the preparation of paper copies of documents took a lot of time, additional expenses arose. The company's management decided to automate document flow.

Automation Project Objectives

  • Organization of operational exchange with counterparties;
  • Acceleration of management decisions and coordination;
  • Organize electronic storage with efficient retrieval and controlled access.

Program and Integrator

The solution 1C: Document Flow on the 1C: Enterprise 8 platform was selected to automate the work with documents. The partner in the project for the implementation of the solution and the creation of an effective automated document management system was the 1C integrator WiseAdvice-IT.

As a pre-project survey, WiseAdvice-IT experts conducted an audit of the Slavyansky bargaining company's document flow, developed a methodology for working with documents for the company's office, for retail outlets and production.

Automated Business Processes

  • Accounting and storage of documents;
  • Maintaining a list of cases;
  • Accounting of contracts;
  • Accounting and monitoring of the execution of orders;
  • Approval of documentation.

As part of filling the system, with the help of the integrator's consultants, the documents were reconciled and "cleaned" of duplicates and copies that had lost their relevance. The customer was provided with comprehensive support at the stage of trial operation of the system, training was carried out.

Project results

  • Installation of EDMS on the basis of 1C: Document flow 8 PROF reduced the period of approval of documents by 50%;
  • Delinquency of contracts is excluded;
  • The order control system does not allow the coordination to "freeze";
  • Based on the procedure developed by WiseAdvice-IT experts for working with documents, a procedure for coordinating documents and applications has been drawn up, and the duties of employees have been standardized. A unified document environment has been created, focused on effective collaboration between employees at different levels.
