2022: Introduction of Directum Ario Intelligent Services

In 2021, the introduction of Directum Ario intelligent services began at Borovichi Refractory Plant JSC. With the help of AI technologies, the processing of incoming correspondence and primary documents, the monthly volume of which is 6500 copies, has accelerated. Also, thanks to artificial intelligence, the routine has decreased and the number of human errors has decreased. This was announced on January 24, 2023 by Directum.

Directum has been used in the enterprise for 15 years. With its help, the key business processes documents for working with documents were transferred to electronic form and achieved improvements. But the volume of incoming documentation by 2021 increased to 6.5 thousand per month, and this area of ​ ​ work needed to be further optimized. To facilitate entry information coming from counterparties, it was decided to unload employees and implement automatic recognition. The choice was stopped on Directum Ario intelligent services. Documents are received by Borovichi Refractory Plant JSC in several ways: in electronic form through the Diadoc exchange service, in paper form by mail or on purpose, as well as electronic correspondence comes through email, the State Public services website and other sources. Depending on how documents are received, Directum's intelligent services process them differently.

In total, 24 types of documents are classified at BKO JSC using Directum intelligent services for January 2023. Details recognition is configured for 8 of them: consignment note, APD, invoice, certificate of work performed, etc. AI services extract significant details: number, date, name of the organization, etc. Primary document cards are filled with extracted facts, after which employees check the result of artificial intelligence.

Specialists of BKO JSC independently train intelligent services to work with various types of documents. Clerks use the AVIA visual markup application - they note significant facts on the documents, and employees of the information technology department conduct the training of artificial intelligence itself. The pool of recognized documents is replenished all the time. So, recently AI services have learned to determine the decisions of the bailiff service.

The project has not yet been completed, but certain results can already be summed up:

  • the time for processing the primary was reduced by 3 times,
  • accuracy of classification of documents ranged from 60 to 100%,
  • accelerated the preparation of reports for state bodies (FTS, PFR, extra-budgetary funds, etc.) and internal controllers.

Also, thanks to Directum's intelligent services, control over the return of financial and primary documentation signed by counterparties is organized. The correct execution of such documentation is guaranteed. There was operational access to documents for all interested employees.

Digitalization of BKO JSC continues. The plans are to cover the processes for sending and receiving documents from counterparties by e-mail, to expand the list of classified types of documents and recognizable details.
