At the start of the project, the educational institution was required to reduce the total cost of ownership of a fleet of printing equipment, increase the availability of infrastructure service and reduce the risks of violation of document confidentiality when printing on public printers. The difficulty was the need to ensure the requirements of legislation regarding the fiscalization and management of paid services, to balance the load on Windows print servers, as well as the individual architecture of the service payment portal.

For 7 months, specialists from Konica Minolta and the department information technology university have developed a service architecture and launched, business processes accompanying service management and everything necessary. IT infrastructure

Papercut MF software components were installed at the facilities of the RCTU data center, they were configured and integrated with the university portal and internal infrastructure services, user authorization technologies were introduced on printed devices. The entire fleet of equipment was combined into a single, centralized network for maximum efficiency and availability of printing, copying and scanning services.

Remote centralized monitoring helps to monitor the status of printers and MFPs, restore the operation of the control system. In deep conjunction with Konica equipment, it allows, without additional software and equipment, to observe not only the availability of printing devices, but also the level of toner, the presence of paper, jamming errors and other conditions that are no less important for service continuity. Purchase requisitions are automatically created in the ITSM system. An automated collection of generalized and personalized print statistics is carried out, which allows you to analyze the workload of equipment and strengthen the most popular points, predict failures and consumption of consumables.

In total, during the project, 12,500 automated workplaces and 57 units of copying and multiplying equipment in several locations were connected to the centralized printing and scanning service. The privacy and economic feasibility of the processes implemented provides a role model of access, restriction of color printing, quotas and other printing policies.

The service is free for university workers. They can print or scan documents after authorization on a multifunctional device using a campus map. Students use the services of printing, copying and scanning thanks to the paid services provided to them. A socially oriented tariff grid with flexible adjustment was developed for various groups of students. In the paid printing section of the university portal, they can calculate the cost of the task using a calculator that takes into account their tariff plan, and replenish and control the balance - on the web portal or through a mobile application. You can send a print job or receive a scanned document in several ways from your personal computer or mobile device. To receive the service, it is enough to log in to any MFP using a pass card.

Thanks to the implementation of the project, the company managed to organize centralized management and a single printing circuit at the university and its branch in Novomoskovsk. The service helps to competently build the processes of managing print services, make them as transparent, safe and economical as possible. In the future, it is planned to scale the decision to the branch of the RCTU in Tashkent, since it shows the potential for replication to the entire sector of subordinate organizations, in which several types of contingent are simultaneously present,
