2025: Project Outcomes to Bring All Employees Together through Corporate Portal

1C-Bitrix on November 14, 2025 shared the results of the project to unite all employees of the logistics company FM Logistic in a single digital space through a corporate portal. As of November 2025, the company managed to involve 7 thousand employees in corporate life.

The logistics company FM Logistic is thousands of people, hundreds of processes and kilometers between warehouses from St. Petersburg to Vladivostok. Everything here works up to a minute, but at the same time people from different branches rarely see each other.

The company faced the task of uniting all employees in the digital space - and not by order, but by interest. This is how a corporate portal appeared, which is entered not by obligation, but by desire: to read, news take a course, quickly get what you need, information start a workflow, participate in a competition or exchange earned points for merch.

The Problem: Plenty of Tools to Work Daily

Until 2022, the Russian division of FM Logistic worked in the logic of global instruments: corporate mail was on a common foreign provider for the group, there were separate HR systems for different purposes. In practice, these solutions worked only partially - many processes did not fit the Russian specifics, and some of the services were completely unavailable over time.

Internal communications lived on different islands: links to services - in files, templates - in letters, KPI - in endless Excel tables. The employees did not have a single working environment, and HR did not have enough time to develop processes - everything went to a manual routine.

When the issue of localizing the IT landscape arose, FM Logistic decided: it's time to create a sustainable, internally managed system that will bring people, processes and services together.

Solution: Bitrix24 as a foundation, K-team as an amplifier

For the new system, FM Logistic was looking for a platform that could be developed for itself. The foundation must be reliable, with the ability to integrate with internal systems. So the choice fell on Bitrix24 - a proven solution with a flexible architecture. The project integrator, KORUS Consulting Group, proposed adding its development to the main functionality of the platform - the K-team HRM solution - a set of HR modules and ready-made scenarios created specifically for large companies. This combination made it possible to quickly launch MVP without losing the potential for further customization.

A few months later, the first working prototype of the portal appeared: news, organizational structure, contacts, personal account, all applications are collected in one place with quick access.

And then the main thing began - the transformation of MVP into a full-fledged digital HR ecosystem, where each process became part of a single space.

From the first day, the FM Logistic team conceived the portal not as a news showcase, but as a company's digital home - a place where an employee can solve a problem and be inspired.

When the user enters the portal, he is greeted by the main page - the center of attraction and the starting point. Everything is at hand here: a widget with quick links to all corporate services (training, KEDO, IT requests, technical support, access), global search and interactive blocks with current events.

Next, attention is attracted by the news block - a corporate feed that operates as a social network. Employees like, leave comments, add tags. Each branch can publish its own news, and a visual editor with ready-made templates helps you quickly create materials.

In the section "Employees" and "Company Structure" you can find any colleague in a couple of seconds - from a line manager to a direction director. This has become especially important for a distributed team.

Next - the employee's personal account. This is his personal space: here is collected information about, VHI the leader, substitutes, you can update data about yourself, indicate interests and competencies. The "Birthdays" section reminds who can be congratulated today, and the board of honor is the place where the successes of colleagues and teams are celebrated. For those looking for information, the "Applications" section has been created - a single catalog of links, documents and useful resources, eliminating endless search in letters.

And finally, contests are the gamification mechanics of the portal. Photo challenges, tasks and promotions with prizes have become a way to involve employees in the corporate life of the portal.

How to Engage Those Who Can't Use the Phone

The most serious test for the project was the reality of warehouse workers. According to safety rules, mobile phones are strictly prohibited at workplaces - you cannot be distracted when equipment moves around and tons of cargo rise. How do you involve people who don't have an app at hand?

The solution was found in a hybrid approach. The warehouses have installed foreman computers - common access points where you can go to the portal, undergo training or leave a review. Training rooms with laptops have appeared in training areas, where employees take courses, participate in development programs or simply get acquainted with new services of the company.

Those who want to enter from a personal device have access from home - many use the portal after hours to pass the test, participate in the competition or watch the news.

But the main thing is that FM Logistic has created content for which you want to go not by order, but of your own free will: contests, activity ratings, training and the internal life of the company.

As of November 2025, the PRO FM portal (this name was given to the portal by FM Logistic employees) became a bridge between the office and warehouses, uniting all company employees in one digital space.

HR modules: from infinite tables to meaningful data

Automation of HR processes has become the next big task. After the launch of the portal, the team decided to turn the key stages of the HR cycle - from setting goals and assessment to selection and adaptation - into understandable and measurable digital processes.

Goal setting and KPI

The module is based on the K-team HRM and is customized for the unique FM Logistic model. One employee card combines corporate goals (with fixed business unit/item shares) and personal goals defined with the manager. Shares and statuses are calculated automatically, excluding manual errors.

The process is transparent throughout the chain: employee - manager - HR - unloading into the financial system to calculate bonuses. HR in its admin panel sets rules and percentages for different roles; reports show progress for each unit. The result is about 2,000 KPI cards of office employees in the system (previously they were entered into Excel manually twice a year).

Annual dialogues (evaluation and development)

KORUS Consulting Group and FM Logistic have developed a solution for conducting conversations about development with company employees. The module was called "Annual Dialogues."

The assessment takes place in 180 ° format: employee self-assessment and manager assessment (if necessary - functional). The questionnaire records current skills, career preferences and forms an Individual Development Plan (DPI).

The final stage is calibration according to the matrix of potential and performance: you can see where high potential is laid, where actions are required and what development programs to launch. The HR panel shows which of the employees at what stage and what competencies need to be strengthened.

Adaptation and training

This is a ready-made module inside the K-team HRM. The new employee falls into a ready-made adaptation scenario: steps for him, the manager, and HR. The bot sends reminders of meetings and tasks, collects polls and returns analytics on the passage of stages. Training combines full-time mandatory courses (HSE) and online formats (e-learning, tests, knowledge base). All materials are available from one window, progress is recorded in the system.

Selection and translations

The KORUS team Consulting implemented applications for selection and internal transfers through smart processes Bitriks24 with custom routes of approvals for grades and roles. The functionality gives a transparent picture: - kanban process steps, notification of events, reminders of actions by the person responsible.

Gamification

When the main processes have already started working, the team decided to take the next step - to turn the portal into a space where you want to return not only for work. So gamification appeared in PRO FM - and it was she who became the main driver of engagement.

Now everything is arranged on the portal as in the game: points are awarded for activity, and you can spend them in the gift store where the merch is displayed. Points can be obtained for participation in competitions, publishing ideas, comments, special achievements in work and for experience in the company.

It all started with simple challenges and photo contests, and then turned into large-scale corporate events. Employees are happy to participate, vote, comment and compete - while the HR department notes that activity on the portal has increased significantly.

Document management and ISO 9001: order instead of chaos

When employees got used to the daily presence of the portal in their lives, it was the turn of one of the most difficult tasks - document management. Before the introduction of PRO FM, procedures and instructions were stored in different folders and versions, approvals went by mail, and the search for the desired file turned into a quest.

Everything on the portal works according to a clear scheme. A document register with templates and predefined approval routes has appeared in the system. Each procedure follows its own approval chain - from the author to the responsible managers.

A full version has been added: the new version of the document automatically replaces the old one, and the archive stores the change history. All the necessary departments receive notifications about current documents, which helps to keep the latest updates in focus.

Thanks to this architecture, FM Logistic not only brought order, but also brought the system in line with the requirements of ISO 9001 - with transparent version control and recording of acquaintances.

The result: the speed of approvals has tripled, and the process has become manageable, transparent and fully digital.

Business effect: numbers, culture, development

The launch of the PRO FM portal based on Bitrix24 and K-team HRM quickly went beyond the HR project - the system became a noticeable factor in efficiency for the entire company.

Thanks to the automation of routine tasks, the HR team has freed up time for strategic work - data analysis, training and personnel development. Employees began to participate more actively in the life of the company, and involvement increased not only due to gamification, but also due to the feeling of transparency and accessibility of information.

PRO FM has become a growth point outside the HR department: now other divisions are also beginning to transfer their processes to the portal - from applications to quality management.

The future of the HRM portal FM Logistic

The PRO FM portal continues to develop - not as a project, but as a living ecosystem that is growing with the company. HR Department has ambitious plans for the near future. The priority is the development of mobile access through the application.

The next step is to popularize communication in the messenger inside the portal and introduce an AI bot that will help employees find answers faster, learn and adapt.

And, of course, gamification continues: new formats of contests, awards and opportunities for involvement.

2024: Development of the Annual Dialogues Module

GC Corus Consulting"" FM Logistic and developed a software product for conducting conversations about development with company employees. The module was called "Annual Dialogues." With its help, it was possible to remove the routine load from the HR department. Now the process can be launched on a specific department, business unit or employees of a certain grade directly on the corporate portal. More than 2,000 employees of FM Logistic use the K-Team corporate portal based on 1C-Bitrix24. Even at the stage of platform implementation, the company's management decided to develop the intranet as a single window of entry into all HR systems. So, in addition to the basic functionality, the portal has already automated the process of setting goals and KPIs.

The next step was the introduction of the Annual Dialogues module. The company has already built a process for conducting annual conversations about development with employees in Google tables, which were filled out by the employees themselves.

For each of the 2,000 employees, it was previously required to prepare a minimum of 2 questionnaires: self-assessment and evaluation of the manager. The HR department had to create files, send them to colleagues, process all the information received manually, which took up a huge amount of working time and increased the risk of making mistakes, said Maria Shipovalova, director of personnel and communications at FM Logistic in Russia.

The K-Team studied in detail the process of conducting the annual FM Logistic dialogues and, based on this data, developed MVP, design layouts and the functionality of the future module. As a result, the process of conversations with employees on the corporate portal has become fully automated.

As of May 2024, more than 2,000 company specialists already use this module. HRs spend many times less time preparing for dialogues. If earlier everything had to be done manually for each employee, now the process can be launched on a specific department, business unit or employees of a certain grade.

2023: Implementation of the K-Team platform

The Korus Consulting Group of Companies has implemented a technology platform K-Team for information exchange, employee communication and goal management for FM Logistic in 3 months. The system made it possible to free managers and HR from routine tasks and more effectively develop internal corporate culture in a single information space.

The company used a corporate portal that stopped responding to business requests. There was a need for an updated unified information space that unites all employees. In the previous system, the HR department performed tasks for goal setting, recruitment and assessment of competencies on several disparate solutions. A high level of load complicated the work, increased the time to search for the necessary information and led to errors.

The main objective of the project was a quick transition to a platform where employees can quickly learn about company news, find contacts of colleagues, get answers to questions and share feedback with managers and HR.

The ready-made K-Team corporate portal based on "1C-Bitrix24" made it possible to launch a tool suitable for business tasks in 3 months, including the New Year holidays. Then the specialists of KORUS Consulting finalized the solution based on the needs of FM Logistic.

First, the K-Team tested the operation and functionality of the portal, connecting 1,000 users. After checking and finalizing the interface, about 2,000 employees received access from desktop devices.

Thanks to customized upload from 1C, a wide organizational structure of the company is displayed on the platform. Employees log in to the portal in the usual way - through single accounts. In the Employee's Personal Account module, each employee can access any available service of the company in a couple of clicks, see full information about the insurance conditions, and also thank colleagues for their high-quality tasks in the Thank You service.

In the second release, the "Goals and KPI Management" module will be implemented on the corporate portal. Thanks to him, the process of setting tasks and assessing their implementation will become simple and transparent for all employees: from top managers to line employees. It is also planned to adapt the intranet to the mobile version in order to involve employees working in warehouses and not having permanent access to PCs in the corporate life and increase the number of regular users to 5,000.

Thanks to the ready-made K-Team solution, we were able to quickly launch a corporate portal with 2,000 employees. Now FM Logistic has a functional platform for the development of its own HR products. This will allow the business to reduce the time for routine operations, work productively with goal-setting, reduce the burden on the HR department and managers, as well as environmentally develop the corporate culture in a large team.
