2023: Document Management System Implementation
1C-Rarus on October 9, 2023 announced that it had implemented a document management system at PANBIO PHARM.
On the basis of 1C: Document Flow 8 KORP, a single information loop has been created for the company's divisions, including separate ones. The timing of agreement on contractual documents has been reduced by 40%.
The IT landscape of the company was represented by programs of 1C:Enterprise 8 system:
- "1C: Document Flow 8 KORP" and "1C: Payroll and HR Management 8" - automation of accounting, operational accounting and payroll;
- "1C: Pharmacy Network Management 8" - automation of accounting, analysis and planning of operations in the drug trade.
Despite the degree of digitalization of processes, due to the rapid growth of the company, there was a need to improve document management. Required:
- shorten the duration of document approval;
- simplify communications between related departments;
- provide the possibility of determining the status of the document at the moment;
- create an archive for storing documents and their versions;
- provide dynamic control over the execution of documents.
To optimize work with incoming, outgoing and internal documentation, the top management of PANBIO PHARM launched a project to digitalize the company's document flow. The ECM system is based on the software product "1C: Document Flow 8 KORP." Product development is based on proven methodologies and practices that help enterprises establish business processes and task control.
The 1C Rarus project team conducted a detailed study of the company's document flow. In accordance with the results of the study, the storage of documentation is structured, the powers and policies of access rights are set up, the rules for coordination by types of documentation are regulated. Linked documents have been set up. To automate the selection of a signatory, a specialized software extension was implemented, which made it possible to reduce the number of process templates and simplify the mechanism for creating them. In addition, a form has been developed to launch the processing of contracts for the selection of arbitrary process participants and deadlines, in cases where a complex pre-configured route is not suitable.
As a result of digitalization of document flow:
- A single information loop has been created, including for separate divisions of the company.
- Minimized loss of documentation, simplified search for the required document.
- Reduced response time and execution of requests and orders, which is facilitated by the receipt of automatic notifications by those responsible.
- Due to the extensive functionality and flexibility of customizable standard reports, control over the status of documents and execution discipline has been increased.
- Standardized business processes for document coordination and processing.
- On average, the terms of agreement of the contractual documentation have been reduced by 40%.
