To automate its activities, Shunk Intek LLC uses the 1C: Integrated Automation configuration and an additional CRM module. The configuration contains some refinements in the Quotation document that are needed to fill in the technical parameters of the task being implemented. Over time, the company had the need to automatically set up and transfer tasks from the sales department (OP) to the technical department (TO).

In order to set and distribute project tasks to technical specialists, it was necessary to clearly see the load of each employee, know when specialists finish and are released from other projects and, if necessary, make replacements. The head of the technical department needed convenient functionality in the system in order to own and manage this information, as well as strengthen control over the implementation of work deadlines. With these and a number of other requests, Shunk Intek LLC turned to 1C-Rarus in St. Petersburg. The specialists of the two companies jointly compiled a pool of tasks and agreed on a work plan.

Automation tasks:

  • automate the interaction between the OP and the maintenance, namely the distribution of tasks from the OP to the maintenance;
  • monitoring of the project execution deadlines;
  • monitoring of the current state of the project;
  • monitoring of projects implementation, compliance with deadlines by heads of subdivisions.

Work execution process:

  1. The distribution of tasks from the maintenance department to the maintenance department was carried out using business processes. It was possible to create business processes from business proposals (CBs), as well as to see the current stage of the business process, the execution history and dates directly from the CB form.
  2. The business process has been described in a roadmap that reflects the steps and logic of the process. When it is started, the system automatically generates a list of tasks for each participant that he must perform. The performer of a specific stage receives a task in the AWS "My Affairs" and "My Tasks." The business process starts on the OP side, then passes to the Maintenance Manager to check technical parameters (assessment of deadlines, labor costs, etc.) and then technical specialists are appointed and the project is transferred to them for work. When you go to each next step, the responsible employee is sent a reminder to the mail and in the program.

Automation results:

  1. The configured system allows you to automatically calculate the deadlines for the implementation of projects and select responsible technical specialists. At the same time, the program takes into account their current employment, weekends and vacation days, business trips, etc. If there is a need to release a specialist from another project or set a task on a day off, then the manager can do it manually. All data is displayed in the form of a Gantt chart, which allows you to clearly see the entire situation in the department as a whole.
  2. The processing created allows the manager in the current mode to view and edit the load of employees for design tasks. It also allows you to see the downtime of employees and makes it possible to evenly distribute tasks.
  3. The head of the commercial direction can also quickly receive data on the progress of current projects, plan new projects, thereby complying with all warranty obligations to customers.
