2023: Automation of the personnel selection process

Sveza has automated the process of selecting personnel using HR-tech solutions from Potok. The use of artificial intelligence tools has allowed Svese to close 2.7 times more vacancies compared to 2022. Potok announced this on January 17, 2024.

Sveza has been automating recruitment for 6 years, but in 2023 it faced an increase in production volumes. Mass and point personnel selection is carried out in the ATS-system "Stream Recruitment," where a seamless process is built from approval of the application to registration for work. Potok has customized the current system and supplemented it with modules using artificial intelligence technologies to solve several HR problems.

New Sveza vacancies are placed on dashboards, as well as billboards, radio and TV, in newspapers indicating the hotline phone for response. The candidate falls for a voice robot assistant, whose name is Oksana. The robot processes an incoming call according to a given scenario and creates a candidate card in the ATS-system "Stream Recruitment" for this vacancy with the answers and the name of the plant. Next, the robot sends an SMS to the applicant with a link to the company's landing for additional completion of personal data, as well as an invitation to face-to-face interviews at the plant.

Bots returning candidates to the funnel. Applicants are not always ready to continue the conversation with the robot to the end. Sveza began to record such candidates in the ATS-system "Stream Recruitment" and in one click send them a message through a bot in WhatsApp or via SMS, offering to go through the given scenario and come for an interview at the plant. Also, a chatbot is used to resume communication with candidates from older applicant databases. They receive messages with information about relevant relevant vacancies.

The entire history of interaction with the bot is recorded in the candidate card in the ATS system and is available to the HR specialist.

Artificial intelligence from Potok assesses the resume of Sveza candidates for non-working specialties. The CV texts and job descriptions are converted into a numerical sequence and compared to determine the percentage of relevance. HR can also study resumes on their own. The bot sends the selected candidates information about the vacancy, finding out the interest in the work. Then recruiters contact the candidates on their own.

As a result, Sveza:

  • increased the conversion of candidates who passed through the voice assistant by 20%;
  • reduced the time to close vacancies of all categories by 15%;
  • closed 2.7 times more vacancies for 2023 than the year before.

The technologies that were implemented together with Potok allow us to maintain an up-to-date database of applicants and significantly speed up the process of searching, analyzing resumes and conducting interviews. The introduction of a voice assistant and chatbots optimizes the stage of communication with candidates to collect primary information, eliminating the possibility of missing potentially valuable personnel, "said Irina Kuzmina, head of the Sveza selection and adaptation department.

We believe that 50% of the recruitment routine should be automated with AI. The initial assessment of the summary, the refinement of standard information and the coordination of meetings can be entrusted to artificial intelligence. This will allow recruiters to free up 20-30% more time for important tasks, such as active communication with candidates and the creation of a favorable corporate culture, - said Maxim Korolev, head of the Selection department of the HR-Tech company Potok.
