Automation of 60 business processes

As part of the company's IT transformation, developer Samolet has automated more than 60 business processes over the year thanks to RPA Sherpa (Robotic Process Automation) technology. Software robotization of processes provides automation using "robots" or programs that simulate human actions. The effect of the implementation is already more than 3,100 hours per month or 3.7 million rubles, it is planned to raise this figure to at least 8,300 hours per month by the end of 2024. RPA allows you to improve the company's performance without attracting new employees, but only by redistributing functions. The developer announced this on April 9, 2024.

Most of the robotic ones business processes relate to the financial and economic activities of the company: comparison of account balances data with from, banks distribution of bank statements according to the template structure, unloading and distribution of turnover and balance sheets to counterparties, formation of accounts, search for payment orders and their collection from, E-DOCUMENT FLOW Kontur.Diadok loading contracts into the system, mass uploads of documents, etc. In the financial and accounting departments, Sherpa robots can reduce the likelihood of human error and optimize data entry times as much as possible - the robot performs tasks up to 20 times faster than a person. In addition, the introduction of robots has a positive impact on the motivation of staff: instead of routine processes, employees can focus on more complex and analytical tasks.

In addition, other internal tasks are automated, simple from a functional point of view, but time-consuming: creating passes in the system, requests to support, obtaining specifications from project documentation, collecting statuses from the contract register. A number of tasks were also performed to robotize one-time processes (analyzing 220 thousand archive files and distributing them into a single structure), which allowed the company to save 12,500 hours or a little more than 1,500 working days.

A separate robotization unit is typical processes within the framework of Aircraft 10D, an IT product platform for controlling and automating the entire construction cycle. Robots are actively in demand, which make updates to the photostat databases for the apartments sold, upload documents to external systems, provide a single window of access to tasks for checking estimates in the estimated cost calculation system and checking estimates for the contract.

A robot has already been introduced that checks the invoice and invoice for the supply of materials in Airplane 10D for compliance with the ordered volumes and values. This kind of validation is a constant and monotonous, non-inspiring data reconciliation work, generating errors due to fatigue and reduced attention. Now the robot independently checks the numbers in the documents and generates a single register indicating all discrepancies. Moreover, all work is performed twice a day, which allows you to increase the efficiency of the task. The employee needs to pay attention only to those documents where inaccuracies were found and make a decision. Typically, the percentage of discrepancies is low and does not exceed 5-7%, i.e. the time it takes to view more than 93-95% of documents, an employee can spend on solving more important problems.

Robotization of standard processes is one of the areas of the program to increase the productivity and efficiency of the Aircraft business. In 2024, we plan to continue optimizing processes within the framework of Aircraft 10D, as well as work with more complex back-office tasks. The development of algorithms for robots and their implementation are carried out by Aircraft specialists.

We see the main quality of RPA in the fact that in order to optimize work, you do not need to implement a new system, rebuild production processes and retrain employees. Robots operate within the framework of already known procedures and help minimize labor costs for standard functions, as well as speed up routine operations. In general, in the year since the start of the project, the company already benefits from the use of robots up to 18 PSEs per month without the need for serious investments in changing the company's IT landscape. The plans are to raise this figure to at least 50 PSE by the end of the year, such optimization will save up to 10 million per month, "said Dmitry Golomidov, head of the robotization department of the Samolet group.

Automation of Treasury and Accounting Transactions

As part of the IT transformation of internal business processes, the Airplane Group automated treasury and accounting operations using RPA Sherpa (Robotic Process Automation). This technology includes software robots that mimic human actions. The project was implemented in four months and continues its development. Sherpa Robotics announced this on February 1, 2024.

In the activities of the financial department and especially accounting, it takes a lot of time to work with primary accounting documentation, contracts, accounts, sparkles and statements. These are standard, routine operations that consist of the same type of actions in a number of programs. RPA, or software robots, can take on such functions, which minimizes employee participation in template processes and improves productivity.

Since the start of the project, in 4 months (September-December), more than 200,000 thousand documents financial in systems have been processed by robots in Airplane. Robots now perform such daily operations as searching for payment orders and collecting them from, E-DOCUMENT FLOW Kontur.Diadok forming accounts, collecting documents according to the requirements of the Federal Tax Service, bulk uploading documents from 1C and extracts from clients, bank loading contracts into the system, etc. A separate robot, Sherpa RPA, designed to automate accounting processes, took over the technical operation of unloading turnover balance sheets and then sending them to counterparties through. electronic document management system In total, the volume of documents processed by the robot monthly exceeded 10,000 units per month.

The introduction of software robots made it possible to automate processes that were previously carried out manually by employees and took several hours of working time daily. Now the processing time for requests and documents has been reduced by 12 times. Also, the advantages of RPA include fast launch, operation in 24/7 mode, the ability to process large amounts of information. A robot integrated into the system is started either automatically at a clearly specified time or at the initiative of an employee.

"Airplane" is systematically engaged in increasing the efficiency of internal business processes.
