GOST P 53898-2010 of the Electronic document management system. Interaction of document management systems

The standard defines that subject to exchange between different EDMS is the electronic message containing the XML document of a certain structure and with the set structure of elements and their attributes and also if necessary one or several files which are an integral part of the electronic message (for example, for transfer of an electronic image of the document).

The data created in the sender's EDMS (details of the electronic document) are transferred and perceived in the receiver's EDMS as values of elements of the transferred XML document.

In the standard requirements to a format, structure and contents of the electronic message providing information exchange of EDMS are defined. The document gives the list and the maintenance of zones of the message and the elements making these zones, sets rules of the description of zones of the message and a transmission order of document files.

The standard is developed by "Electronic Office Systems (Design and Implementation)" Limited liability company, Regional public organization "Guild of Specialists in the field of Information Science and Management of Documentation" and "IRM Scientific and Technology Center" Private company within PC 6 "Lifecycle of electronic document management" of shopping mall 459 "Information support of product lifecycle" in pursuance of Programs of national standartization for 2009 and 2010.

The standard of the organization "Interaction of automation systems of documentary ensuring management formed a basis for the national standard. Structure, contents and the description of zones of the electronic message", developed in 2004 by the Working group under the direction of Regional public organization "Guild of Specialists in the field of Information Science and Management of Documentation" in structure:

Object of standardization is the electronic message sent between document management systems in the course of information exchange. The standard sets a format, structure and contents of the electronic message providing information exchange of document management systems.

Use of the uniform interchange format documents allows to provide transfer of electronic documents without loss of information and without the need for its additional processing, to resolve issues of reduction of cost of development of interfaces and communications between document management systems, to reduce duplication of data and need of their repeated input, creates conditions for implementation of less expensive and labor-consuming compatibility of document management systems of different producers. Application of the standard promotes integration of separate document management systems into a single interdepartmental system of exchange of documents.
