2024: Pre-design inspection of motor vehicle control processes

On February 8, 2024, 1C-Rarus announced that, together with Gazstroyprom, it had completed a pre-design survey of vehicle management processes.

As reported, Gazstroyprom plans to create a unified transport management system in the group of companies. The system was based on the industry solution "1C: Transport Logistics, Forwarding and Vehicle Management KORP." During the pre-design survey, more than 300 requirements for the system were determined, the implementation of which optimizes the efficiency of the operation of vehicles and special equipment of the enterprise.

The goal of the launched project of digitalization of management motor transport was the transition to a single information environment. It is necessary to integrate the activities of all departments in terms of the operation of transport funds and simplify the formation of unified management reporting. The functional customer of digitalization in terms of vehicle operation management is the Department of Chief Mechanic of Gazstroyprom JSC. The main tasks of the Department: management and distribution of technical resources, control over the execution of repairs, operation and dispatching of vehicles, implementation of measures to comply with road safety rules.

The partner of the project was chosen "1C-Rarus" with suitable experience in digitalizing motor transport enterprises. In November - December 2023, a pre-project survey of the business processes of the current information system was carried out. From 30 to 45 participants of the cross-functional working group took part in a series of 15 interview meetings - representatives of the Department of Chief Mechanic, Financial, Economic and Human Resources of Gazstroyprom, as well as the 1C-Rarus project team. As a result of the work, the desired image of the Gazstroyprom vehicle management architecture was formed. It was decided to build an updated system on the basis of "1C: Transport logistics, forwarding and management of KORP vehicles."

The project team identified and entered into the register about 300 requirements for the updated industry vehicle management system in terms of the following processes:

  • Planning of technical resources. Implement planning in the context of construction facilities and operating organizations, from the upper level of long-term planning with detail to daily schedules, waybills and layouts.
  • Purchase of spare parts. Add options for provision and reservation of insurance stocks, planning of spare parts requirements, interaction between accounting systems, electronic trading and EDM.
  • Road safety. Implement functionality in terms of reflecting changes in legislation, controlling mandatory documentation, working with trainee drivers, exchanging with external services.
  • Work with contractors. Automate the control of the operation of technical resources at the facilities due to the process waybill.
  • Production dispatching. Set up efficient dispatching and equipment allocation across multiple contractors to minimize downtime.
  • Investments. Automate the control of the process of investment activities related to the restoration and acquisition of technical resources.
  • Budgeting. Automate project budgeting based on planning and calculation of actual cost of operation.
  • Satellite monitoring systems. Add satellite monitoring of crane equipment operation.
  • Fuel balance. Automate fuel and lubricant output by recording the fuelling data by the fuel truck drivers.
  • Working with mobile applications. Connect 500 fuel truck drivers to work with mobile applications.

We have assembled an expert team and will use best practices to digitalize the company's processes. In our immediate plans, agree on a schedule for the next stages of development and implementation. The system will be used by dispatchers, mechanics, division managers, specialists of the production unit, management of subsidiaries, units of the head unit - financial, economic, accounting, procurement, department of chief mechanic, senior management. In 2024, a single digital approach to the operation of transport will be introduced. The automation circuit will include 16 subsidiaries.
