"Soda" passed to electronic document management

The IT company, the authorized partner of DIRECTUM company, successfully completed implementation of the ECM system of the same name at one of the largest enterprises of chemical industry of Russia — JSC Soda. Now in a system more than 500 users work.

For effective development and improving competitiveness Soda implements different investment and innovation programs. A strategic objective of the company is preserving of leadership in the internal and external markets due to use of modern managerial technologies. Having realized that implementation of this purpose is impossible without implementing solutions on workflow automation and the main directions of interaction, the management of JSC Soda initiated the choice of the electronic document management system (EDMS).

During the choice of the solution were considered and estimated by different criteria practically all presented at the market by EDMS. Special attention was paid to information security tools in a system and also to opportunities of geographically distributed work. The DIRECTUM system as the most full meeting the requirements of Soda company was as a result selected. System implementation was entrusted to IT company, the Authorized partner of DIRECTUM.

The main objectives of the project were acceleration of process of document flow at the enterprise, optimization of interaction between employees, simplification of control over execution of instructions and ordering of work with documents in general.

By the beginning of 2009 such business processes as registration of incoming documents and pronouncement of resolutions, work with outgoing documents and also approval, signing and registration of agreements were automated. Then, in 2010 specialists of IT performed the works directed to expansion of functionality of an electronic document management system. In particular, work with memos, orders and orders and also process of preparation and holding meetings was automated. For remote users the opportunity for work with documents via the web interface was organized.

Besides, in the project progress for document storage the electronic archive using the database and service of file storages DIRECTUM Storage Services was created. In a system share where each user can save documents is organized, differentiating access rights to them. For simplification of search of the electronic document in its paper copy the technology of fast identification of documents for Directum RapID barcode is used.

The head of department of information technologies of Soda Kolomiyets Vladimir noted: "Implementation of EDMS directly affects competitive advantages of our company before other players of the market. To workflow automation there was an acceleration of information flows that in the best way influenced functioning of all enterprise".
