The Centrgaz company started operation of EDMS Case. The implementer - SoftExpert company.

About implementation

System implementation "CASE" is begun in July, 2010. A standard set of necessary actions is held. At the first stage examination of office-work and document flow in JSC Centrgaz is conducted.

Based on inspection schemes of the movement of documents from the moment of their creation before write-off in case on the following sections are developed: the entering and outgoing correspondence, orders, orders, protocols, memos, agreements. Installation of the software and setup of the corresponding system reference books is executed EDMS "CASE" and converting of data from an old system is carried out. For the organization of the timely notification of employees on the taking place events in a system via e-mail the additional option "Notification and Notification" was set. Its use accelerates and simplifies work with documents for the user, and allows to trace approach of the terms connected with execution of instructions in advance. For ensuring effective processing and approval of internal documents the option "EDS and Enciphering" providing an opportunity to sign documents using the electronic digital signature is implemented. Installation of a subsystem "DELO-WEB" allowed to organize access for specialists of territorially remote division to a single system of document flow.

Results

Now heads of structural divisions, the secretariat, departments and departments of the company are connected to a system. In the long term development of the project is going to be provided with jobs of all specialists of the company participating in document flow and to pass to completely electronic document management.

In June, 2011 Centrgaz purchased additional jobs of the CASE system and a subsystem of "DELO-WEB". In total at the moment in JSC Centrgaz it is set and are operated: the CASE system – 12 jobs, a subsystem of "DELO-WEB" – 150 jobs, a subsystem "the EDS and Enciphering" – 32 jobs, the option "Notifications and Notifications" – 60 jobs.
