2024: Directum RX Implementation

Softline Group of Companies (PJSC Softline) helped Tatspirtprom JSC organize and automate the financial archive of primary documentation for entering the tax monitoring mode. Softline announced this on August 1, 2024. Thanks to this, the company managed to minimize work with paper documents, reduce the financial risks of fines and establish internal document management. The implemented project corresponds to the strategy of Softline Group of Companies for the supply and implementation of import-independent IT solutions for digital business transformation.

Tatspirtprom adheres to the course of digitalization and actively introduces technologies into business processes. Since the fall of 2022, the company has decided to enter the tax monitoring regime (NM) in order to solve the problem of the labor intensity of office inspections and increase the efficiency of the financial service. To do this, Tatspirtprom had to organize and subsequently automate the financial archive.

Softline Group of Companies proposed the Directum RX solution and won the tender for supply and implementation.

The main difficulty of these projects was the tight deadlines - the entry into the tax monitoring regime from January 01, 2024, while methodological preparation started only in the second quarter of the 2023. For six months, a large amount of work was required.

To meet tight deadlines and optimize processes, most of the work was carried out in parallel by different teams. The first was engaged in the construction of a single digital storage and the configuration of integrations with other systems, and the second was engaged in the preparation of all information systems. As part of the second task, IT experts organized centralized storage of documents, linked data to operations and ensured proper disclosure, streamlined processes, and prepared users to work with the system.

One of the key achievements in the work on the project was the transfer of the company to internal and external electronic interaction. Work on digitalization continues, while positive dynamics are visible. In addition, Softline Group of Companies specialists have implemented intelligent document processing. The system is self-learning and since commissioning, the extraction accuracy has already increased significantly.

It was possible to implement such a large-scale project in six months only thanks to the coordinated work and expertise of our teams. We faced many time-consuming tasks, and we are glad that in the end we were able to complete everything at the highest level. In addition to organizing and automating the financial archive, in the process we implemented many useful and important improvements that will help the company in further digitalization, "said Polina Duikova, Head of EDMS/ESM at Softline Group of companies.

The developed technical solution allowed the company to reach a new level of development and improvement of business processes. Operational implementation was made possible due to the focus on the results of top management, involvement and high internal expertise of IT specialists and customers. For August 2024, we continue to improve and develop the solution.
