Production Association Belorusneft"" is an international engineering oilfield service power and company implementing projects for the development of oil and gas resources not only in, Belarus but also in countries of near and far abroad. The main activities: geological exploration, processing and oil and gas production power, oil service, science and engineering, sale of petroleum products through a proprietary network of oil depots and gas stations. ON Belorusneft implements an active innovative policy due to the technical and technological re-equipment of all parts of the production process, and also creates an effective management structure and a system of internal corporate production relations.

The association includes 43 units, the total number of the team is 27,000 people. The office of the Belorusneft Central Office is located in Gomel (Belarus). Separate divisions and branches are located in various cities of Belarus, Russia and other countries.

It acts as a customer, providing the opportunity for various separate departments to interact with each other, and collects all information about facilities at its server facilities.

Implementation objectives

The goals and objectives of the implementation of the Vitro-CAD system were to optimize material and time costs, increase the efficiency of work, and improve the quality of products and services.

Implemented functionality

To achieve these goals, a single automated environment of general Vitro-CAD data was implemented and set up using a contractor - a private enterprise Glavtelecom. The owner of the Vitro-CAD system, and accordingly all information on the objects, is the Central Apparatus of the Belorusneft software.

The system has created separate subsites for each separate division acting as a customer (for example, a subsite with objects of the Rechitsaneft oil and gas production department, etc.), which contains information on objects with a unified folder structure. Access rights are divided into these sub-sites.

The project organization for a specific project (for example, the design enterprise BelNIPIneft) is responsible for downloading files and starting the approval process. All user actions are recorded, which increases the transparency of ongoing processes, download dates and work with project documentation.

An important role is played by the implemented module "Workflows" (VitroWorkflows). With its help, business processes are formed to agree on documentation between geographically remote participants. The negotiation process takes place in several stages based on serial-parallel routes.

After loading the documentation by the design enterprise into a separate folder "Package," a workflow is launched, which first goes to the first stage (to the customer) and is agreed within the customer's enterprise with the formation of a register of comments (there may be several approvers, each of them can redirect the subtask to its subordinates). The status of the documentation at this stage is "Subject to approval by the customer."

After successful approval at the first stage, the process for the next stage is automatically formed (the owner of the facility is the Belorusneft Central Apparatus). Status of documentation at this stage "At CA approval."

After reviewing the documentation by all approvers and the presence of comments, before the next stage, the designers form a task for correction. Therefore, the documentation already corrected by the primary comments is received at the next stage and the approvers are sure that it has been viewed, corrected and worked out. If necessary, you can see who and what comments gave, upload the list of comments to excel.

When agreed documents are resubmitted for a new approval cycle, documents that participated in this process and have the status "Agreed" receive a new status "On Adjustment." This makes it possible to clearly assess the relevance of information.

Automation of business processes allows you to speed up the coordination process, increase transparency of interaction and discipline of participants (instant formation of a task with notification of participants by e-mail) and reduce the amount of paper documentation.

Business processes are built using the "Comment Register" tool (role-based step-by-step status change, chat on comments, flexible filtering, attachment of documents from the Vitro-CAD general data environment, unloading a list of comments on any of the elements).

Positive effect

The Vitro-CAD system, implemented in the Belorusneft software, allows collecting all information about projects in a single information space, increasing the efficiency of joint work, reducing the number of paper documents, as well as simplifying interaction between separate divisions in a complex chain of related business processes (electronic coordination with the customer and the Central Office).
