2024: Start of implementation of HRlink EDC
iFellow automates HR workflow using the HRlink service. It is expected that in the near future at least 70% of iFellow employees will switch to personnel electronic document management (CEDO). HRlink announced this on December 5, 2024.
Before the implementation of this system, personnel documents in the company were processed manually. With an increase in the number of staff over 1000 people, an increase in the share of remote workers to 80% and the volume of document flow with contractors, it became necessary to automate personnel tasks. The request for digitalization of "paper" procedures was also confirmed by regular employee satisfaction surveys (NPS).
Paper document management has two main problems: financial and organizational. Financial is related to the delivery of securities and the content of a large personnel department. Organizational - with a high load on personnel administration specialists. The search for the vendor took the company two months. During this time, market analysis was carried out with the involvement of its own IT employees and HR administrators. IT has identified key selection criteria such as security, technical capabilities, and interoperability with existing infrastructure. Personnel service employees formulated key functional requirements, including the ability to mass sign and distribute documents, integrate with Bitrix and its own iFellow vacation portal, have a mobile application, work with self-employed employees, individual entrepreneurs and under GPC contracts.
As a result, we chose HRlink. The service is distinguished by a deep expert understanding of personnel administration processes. We were also attracted by the ability to independently test the product before making a decision. At the first stage, a pilot group of iFellow employees is connected to the HRlink service. The tasks that have already been transferred to the KEDO included the processing of personnel documents related to hiring, internal labor regulations, applications for sick leave and time off, coordination and signing of NDA and other documents for work on specific projects. In the near future, functionality will be connected to submit and process vacation applications. After analyzing feedback and tracking changes in NPS, the company plans to scale the system to all employees. The full implementation of the CEDO is planned to be completed in 2025.
