LLC KG MAYAK, a consulting company, introduced and began to use the ETLA electronic archive system version 7.0. The implementation took place in March 2024, and the system has already demonstrated its advantages, ensuring an increase in the efficiency of document processing and speeding up access to the archive. This was announced by Atlas Soft on December 6, 2024.

LLC KG MAYAK specializes in providing strategic and operational consulting services. The company actively interacts with a wide range of customers from different industries, which requires high-quality processing of a large volume of documents.

Advantages of implementing the "ETLA" system

  • Document automation. The system allows you to keep records and store documents of all types, including electronic versions and scans of paper documents. This greatly simplifies document management and reduces processing time. data
  • Versatility and compatibility. ETLA supports a wide range of file formats, which makes it convenient for use in various business processes. In addition, the system is fully compatible with other IT solutions that are already used in LLC KG MAYAK.
  • Import substitution. The platform is fully developed by a Russian company and does not depend on foreign software suppliers. This is an important factor, given the need of many companies for safe and reliable solutions in the Russian market.
  • Security and privacy. One of the key priorities for the company was to ensure complete data protection. The ETLA electronic archive includes reliable access delimitation mechanisms and protects information from unauthorized access.

Adapting the system to customer needs

In April 2024, Etla - specialists Software carried out additional work to adapt the system to the specific requirements of LLC KG MAYAK. During this phase, two key improvements were made:

  • The mechanism for automatically counting pages in PDF files. When a document is registered in the ETLA system, the number of pages in the downloaded PDF file is automatically calculated, and this value is immediately entered in the document card.
  • This function saves employees time by counting the number of processed pages when registering documents.

Paging mechanism for PDF files. The system was supplemented with a page-by-page document analysis function with the ability to indent on each page and on each side of the sheet. This innovation makes it easier to work with multi-page documents, improving the visual perception of information and improving the convenience of its processing.

The use of the ETLA system allowed the customer to carry out a project to form an electronic archive of scanned documents in automatic mode. Using built-in mechanisms, the system automatically recognized the key parameters of the document, created a filled document card and registered it in the system. Thus, an electronic archive of several hundred thousand scanned documents was formed in a few weeks.

The introduction of the ETLA system allowed LLC KG MAYAK to significantly speed up work with documents, minimize the time spent on the formation of document cards, search for the necessary information and improve control over document flow. By adapting the system to the company's specific needs, the use of the archive solution has become most convenient for employees and has made it possible to optimize the processes associated with registration, storage and processing of data.

The electronic archive of ETLA, when expanded to the functionality of the document management system, provides the opportunity for prompt coordination of documents, control over execution and guarantees full transparency of all actions with documents. Thus, the use of the system not only accelerated the processing of information, but also reduced the risks of errors and data loss.

LLC KG MAYAK assessed the capabilities of the ETLA system and plans to continue to develop internal processes of automation and digital transformation, relying on modern solutions developed on the basis of domestic technologies.
