2023: How to open a new hypermarket from scratch in 1 day, or why is automated accounting better than "on a piece of paper" accounting?
How the work was built before automation with Cloverens
The first branch of the Russian Light company opened in 1995 in the city of Tver. Today, the size of one of the largest distributors of 250 world and domestic manufacturers of electrical equipment in the Russian Federation and the CIS countries - the Russian Light company - is simply amazing:
- 6,000 people in the state;
- more than 220 thousand square meters - the total area of all objects;
- 56 retail stores, 4 of which with an area of more than 1000 m ²;
- 143 branches and representative offices;
- over 35,000 SKUs are the nomenclature of each of the 7 class A + logistics centers, and the total is 1 million items.
The main responsibilities of hypermarket employees include the acceptance of goods, checking the availability of products on shelves and prices for them, laying out and forming orders for customers and others. All these operations of storekeepers and sellers "Russian Light" always performed manually.
They accepted the goods on paper invoices, then checked each item in the documents with the actual presence, and then entered all the data into the accounting system manually. Before placing an order with our supplier partner, the storekeeper had to first check what products are missing on the shelves and analyze the sales volumes for previous periods. All these manipulations took a lot of time. And in general, such a accounting mechanism was not very effective, Eduard Tyamin, administrator of hypermarkets "Russian Light."

With the development of retail and an increase in sales volumes, the management of the Russian Light company has an understanding that it is also necessary to automate order processing. Because the number of goods on the shelves of hypermarkets increased and at that time already exceeded 10 thousand SKU. In addition, it was necessary to maintain a given bar: 24 hours to deliver the order to the buyer within a radius of 500 kilometers from the nearest warehouse.
We realized that the introduction of shipping documentation in warehouses and logistics centers is simply necessary, and we began to look for an operator with whom we will cooperate, Dmitry Grigoriev, director of the Russian Light retail chain.

The decision is made, but there are nuances
Easy setup and intuitive interface for employees - these were the main criteria for the new software for shipping documentation. But since each hypermarket had to automate from 5 to 9 jobs, the issue of distributing the budget in the project was still acute.
It was important for us that the program could be integrated as correctly as possible with the existing ATOL SMART SLIM PLus data collection terminals. Because we were not ready to immediately change both the software and 11 pieces of equipment, Dmitry Grigoriev, director of the Russian Light retail chain.

First difficulties
The first mobile software from a third-party developer, selected for hypermarkets, was not ready to interact with 1C: Trade Management and 1C: Retail - the integration was incomplete. In addition, setting up the software caused many difficulties and questions.
We could not configure this software for ourselves, so we decided to re-analyze the market and still find software for shipping documentation, which will close our accounting needs and which can be integrated as quickly as possible with 1C without external improvements, Dmitry Grigoriev, director of the Russian Light retail chain.

New implementation
Having anew analyzed the market, having conducted several tests and a couple of dozen hours in heated disputes, the technical specialists of Russian Light nevertheless chose the software presented by the managers of the First BIT company.
One programmer coped with the integration of "Store 15" on the shipping documentation and setting up interaction with 1C. The software literally in 2 clicks and 30 minutes of time "sewn" into the accounting system. Now software from Cloverens is actually a connecting link between 1C: Accounting, 1C: Retail 2.3 and 1C: UT 11. Thanks to the implementation of mobile software, we managed to automate almost all processes related to the movement of goods within the company from suppliers and suppliers - acceptance, inventory, movement, returns, Dmitry Grigoriev, director of the Russian Light retail chain.

Today, each hypermarket is equipped with 3 shipping documentation, and employees can log in to the terminal at the beginning of the shift under their own password and start working. Storekeepers no longer need to check all the time with paper invoices or with 1C when picking orders - everything is done according to barcodes. Automation allowed the Russian Light company, among other things, to improve services for customers and reduce queues at the checkout.
Previously, in addition to sales, the storekeeper-seller could perform only 2-3 additional tasks. For example, put products on shelves and check price tags. With shipping documentation, he manages to do 4-5 tasks. With the introduction of Kleverens software, we accept the product three times faster: 30-40 minutes instead of 2-3 hours for a similar volume of products, Eduard Tyamin, administrator of hypermarkets "Russian Light."

The administrator of the Russian Light hypermarkets admits that it was easy to learn how to use the Store 15 mobile application, since the developer's website has a lot of instructions and useful videos in the public domain. But it was difficult for the staff to get used to the new algorithm of work. I had to show and prove that such a format is many times more efficient than manual accounting.
Results of the transition to automated accounting
Automation of warehouse and commodity operations is suitable for business of any format, because time is the most valuable resource. Data digitalization allows you to optimize the work of line personnel in such a way that the routine will take a minimum of time, and employees will be able to fully engage in sales and work with customers.
