2024: Implementation of AKAM 1C:CRM and module: TENDERS

Before the implementation of the module AKAM: BIDDING , the search and filtering of bids took place in the tender search system. Seldon 1.7 Data from the aggregator was manually transferred to, MS Excel where information on selected tenders was stored. Coordination processes were implemented with Bitriks24 and with. When email winning the tender, data on customer orders, shipments, ET movement, concluded contracts were entered into. 1C

Objectives:

• storage of data on all relevant tenders (in which participation and rejected),
• storage of tender documentation,
• optimization of coordination processes,
• tracking the chain of work performed,
• delimitation of access to tenders by responsible employees and departments, monitoring of deadlines at the stage, creation of an analytics system.

Works performed:

• conducted interviews with key users of the company to clarify and formalize business requirements;
• Settings of the AKAM: BID module have been made (a reminder system has been set up, business processes have been rendered, reports have been adjusted);
• finalization of storage and receipt of documents using API, finalization of deadlines dates;
• demonstrations of the improved system functionality and consultations on the use of typical module capabilities were held.

Result:

• bids and tender documents are automatically uploaded to the system;
• approved tenders are distributed among those responsible;
• the head of the tender department is notified of new tenders taken into work, and transparently monitors the download of subordinates;
• at the tender stages, the bids are allocated by priority according to the dates of the deadline;
• The reconciliation process has been transferred to 1C.
• the history of the decisions made is stored in the tape;
• reasons for refusal to participate and reasons for losing in the tender are collected in reports;
• The documents associated with the tender are displayed in the invoice.
