Warehouse chaos and financial losses

Parus-Electro, a Russian developer and manufacturer of uninterruptible power supply systems, batteries and energy-saving equipment, has faced serious problems in its warehouses. The company has three warehouses with different specifics: production, finished products and mixed - each with its own characteristics. But they were all united by the same chaos.

Accounting errors, re-sorting and delays in shipments have become commonplace. This not only slowed down work, but also led to financial losses. The company's management understood that without automation, the business would continue to lose profits and customers.

The main problem with "Parus-Electro" was the manual mode of operation. Goods, especially batteries, have unique serial numbers that must be considered at each stage - from acceptance to shipment. In addition, batteries require regular testing. And this process also added complexity.

Failures of the past - skepticism of the present

The management of Parus-Electro has already tried to implement various accounting systems. For example, the company used "1C: Trade Management," but this system did not cope with the tasks.

Simple solution for complex tasks

In search of a solution, the company drew attention to the mobile application for shipping documentation from Cloverens. The integration of data collection terminals with the "1C:ERP" system seemed simple and understandable.

The First Steps to Automation

After the decision was made, VIANT specialists began integrating the system: together with the Parus-Electro team, they developed a accounting methodology that included targeted storage, control of testing of goods and reflection of all operations in the system.

At the same stage, key processes were identified. For example, it was decided to use product characteristics in the system to reflect the status of the item (checked or not). A mechanism has also been developed for automatically creating series based on data from barcodes, which significantly accelerated the acceptance process.

Small difficulties and overcoming them

The implementation of the system was not without difficulties in terms of setting up product testing processes. Integrators have developed a scheme in which the storekeeper moves the goods to the testing area, the tester checks, and then the goods are returned to the warehouse.

Integrators have also developed a mechanism for uploading data by registers so that only those rows that need to be processed at the moment fall on the shipping documentation. Now you can perform operations partially, but with the maximum preservation of the typical 1C configuration logic.

From acceptance to inventory

Integrators have automated several key business processes using data collection terminals (shipping documentation). Among them:

  • Acceptance of goods: The goods are accepted for an unaddressed room, and the "Receipt Order" document is formed in the system.
  • Goods testing: A scheme has been developed in which the goods are moved to the testing area, tested and returned to the warehouse.
  • Selection of goods: A mechanism for selecting cells using the FEFO method has been implemented (the first to ship the goods with the shortest shelf life).
  • Shipment: The document "Expense order" is used, which after verification changes the status to "Shipped."
  • Transfer: Goods are moved between warehouses and bins using the documents "Transfer of goods" and "Selection (placement) of goods."
  • Inventory: Two options are configured - according to plan and in fact, which allows you to carry out both a full recount and a partial reconciliation.

Two approaches to accurate accounting

Integrators have set up two inventory options in the 1C system to ensure maximum flexibility and accuracy of accounting.

The first option is an inventory of the planned document "Recalculation of goods." In this case, the storekeeper enters actual data that automatically populates the Actual Quantity column in the system. When the process is complete, the status of the document changes to Enter Results.

The second option is an inventory without a planned document, that is, in fact. In this case, the storekeeper creates a new document directly using the data collection terminal.

Different inventory options allow you to carry out both a complete recalculation of the entire warehouse (according to the plan) and partially reconcile the data on the article in specific bins in fact. We disabled the ability to view the planned quantity at the terminal, but added the ability to view balances from the Inventory transaction. So storekeepers get really actual numbers, without a "benchmark" for any planned indicators,

Warehouse Order and Resource Savings

The result of the introduction of the new system was the complete elimination of errors in accounting and shipments. The warehouse speed increased several times, and the cost of manual labor decreased significantly.
