Wone IT automated the operation of the settlement service in Sochi Park Hotel using the Wroomify solution. Wone IT announced this on April 18, 2025.

Sochi Park Hotel receives more than a million guests annually, offering comfortable conditions for individual travelers, families with children and large companies, including entire sports teams with coaches and fans. In any hotel, the simultaneous arrival of 100 or more tourists makes it difficult to quickly check in. Reception desks cannot serve such large groups at the same time, despite the high service and level of training of staff. At the same time, self-arriving guests are especially affected, coinciding with the arrival of large corporate or sports groups. In addition, there is a special category of guests - stars and famous personalities who prefer not to appear at the reception and in public places.

In Sochi Park Hotel, an idea was put forward to use information technology to digitize the registration and check-in procedure in order to improve the quality of guest service and optimize the work of employees. Wone IT has proposed integrating its own development platform with the Roomify self-occupancy module.

Sochi Park Hotel drew attention to a wide range of additional functionality of the Wroomify solution. This is not just an independent settlement service, but a whole ecosystem covering many tasks faced by hoteliers.

Wroomify includes not only self check-in functions, but also additional modules such as inventory issuance control, document recognition using artificial intelligence technologies, and others. This solution does not require replacing or reinstalling the hotel management system, nor does it stop business processes. Wroomify allows seamless integration and transfer all data to a single database. It is also possible to consolidate the work of Wroomify with restaurant software and systems for selling additional services and hotel services.

The goals of the project for the implementation of Wroomify in Sochi Park Hotel

  1. Provide your guests with a technological service that will allow you to check in, bypassing the reception and saving time.
  2. Speed up the check-in procedure during peak hours and during the high season.
  3. Reduce the time spent by hotel staff to check in guests by automating processes.
  4. Increase the loyalty of guests to the hotel by simplifying the journey from arrival to the entrance to the room.

The development and implementation of the project took 8 months: from April 2024 to December 2024.

One of the most difficult tasks was to set up the self-occupancy process, which must comply with both the legislative norms and the business processes of the hotel. Fully automatic registration cannot be done. The Wone IT team managed to find the optimal solution by distributing the tasks between the Wroomify system and the hotel staff. Guests can now go through most of the check-in procedure themselves from anywhere in the world. On the staff side, the function of confirming the identity and reconciliation of documents of arriving guests with information automatically received by the system remained.

Wone IT experts also seamlessly integrated Wroomify with the hotel management system (PMS) and improved existing business processes. The innovative Wroomify module, which uses artificial intelligence technologies, automatically recognizes scanned documents and enters all the necessary data into the PMS, which greatly simplifies the process. The system is able to recognize even handwritten text and easily copes with different types of documents: Russian and foreign passports of different countries, birth certificates.

In addition, the function of automatic transfer of information about guests visiting the hotel to the migration registration system was implemented. Data is transmitted at the touch of a button after information is checked by the hotel staff, which makes the process even more efficient and convenient, reducing the number of errors to zero. In case of filing incorrect information, hoteliers pay large fines, which can reach 750 thousand rubles for each guest.

During the implementation of the main project in Sochi Park Hotel, an additional need for the introduction of an inventory accounting module was identified. Wone IT experts have implemented the ability to rent beach towels using key cards that guests receive when checking in.

As a result of the launch of the Wroomify platform in Sochi Park Hotel, guests have access to a convenient self-catering service that meets the requirements of the hotelier and the rules in the field of tourism.

Wone IT continues to develop Wroomify, focusing on the needs of hoteliers and creating a convenient service based on the real needs of guests. The product has already turned into a whole ecosystem today.

In the near future, the solution will include a new, more powerful built-in document recognition module, fully developed in Russia, complying with all cybersecurity requirements and new laws on the protection of personal data. For April 2025, modules with artificial intelligence are being tested and prepared for release, which will simplify tasks such as ordering services, booking parking and navigating the hotel, "said Konstantin Fedorov, Director of the WONE IT Innovation Department.
