2025: Digitalisation of voting with ITFB EasyDoc

The Kompa ny Smart Service group digitalized voting with ITFB EasyDoc. The organization of votes at general meetings of owners (OSS) here requires accurate accounting of each share and thousands of paper questionnaires. ITFB Group announced this on July 14, 2025.

The key task of the project was to automate the counting of votes within the framework of the OSS: fast, accurate, human error-proof extraction of data from paper and electronic questionnaires. Given that the weight of the owner's voice directly depends on the area of ​ ​ the apartment and the share of ownership, the legitimacy of the entire meeting depends on the accuracy of information processing. The project was complicated by extremely tight deadlines: SMART SERVIS Group turned to ITFB Group after the start of voting - the system should have been deployed by the time the votes were counted.

The ITFB Group team implemented EasyDoc, an intelligent platform for recognizing and analyzing text data, in 1.5 months. The decision was adapted to the format of voting questionnaires and trained to extract values ​ ​ important for counting votes: owner's name, apartment area, room number, answers to voting questions. Due to the limited number of samples, a preliminary model was launched at the start, which, after receiving real documents, was further trained.

The solution was based on ITFB Group's own developments in OCR, IDP and LLM. The system was implemented and adapted in record time. Before commissioning, employees of SMART SERVIS Group of Companies were trained by EasyDoc specialists.
