IT company ITFB Group has partnered with Mertago. The ITFB EasyDoc Intelligent Document Recognition System will help enhance Mertago's procurement automation system's documentation capabilities. ITFB Group announced this on August 27, 2024.

They have to manually process large amounts of information from suppliers, which takes a long time and increases the risk of errors.

Mertago has developed a solution that allows you to automate routine procurement processes for any organization, regardless of size. The system provides the opportunity to conduct competitive purchases, request quotations, track market trends and optimize costs. To solve the problems associated with the need to process a large number of documents, such as invoices, specifications and contracts, a system for recognizing and extracting data using artificial intelligence ITFB EasyDoc was integrated into the product from Mertago. The OCR-system ITFB EasyDoc helps to automate the process of recognizing, processing and exporting documents, which eliminates the need for manual entry of data from paper media, allows you to free qualified employees from routine. This is a completely Russian development, in 2021 it was included in the register of domestic software.

In the flow of standard appeals there are important and urgent, untimely reaction to which is fraught with financial or reputational losses. In the process of performing routine operations for processing incoming calls, employees make mistakes, do not always comply with the established deadlines. The ITFB EasyDoc intelligent data recognition and processing system allows you to automate this work.

Automation of work with incoming correspondence is relevant primarily for banks, developers, industrial enterprises, as well as for state organizations providing services to citizens. For example, banks receive many complaints about fraudulent actions (illegal debiting of money from accounts, registration of loans on behalf of a bank client, etc.). The trend of recent years is the automation of primary processing of correspondence in production companies, where artificial intelligence helps to improve the work with complaints.

Then the system recognizes the text. If we are talking about document images, extracts the necessary data from it, establishes relationships. After that, artificial intelligence refers to the appeal to a certain type. Thanks to the use of natural language processing (NLP) technology, documents are classified with high accuracy.

The processed cases are transferred to the target system, where they are handled by the employees directly responsible for the issues that need to be resolved. ITFB EasyDoc works with electronic calls, scans, including poor quality.

The second group is asterisk tasks, when a fine classification of the case is required to route or form an auto-response. Not always the desired attribute, and often its value, can be found only from the context. And then large language models (LLM) come to the rescue, in particular, GPT, which trains, according to the algorithm, to ask special questions to the text of requests and generate answers to them, even if they are not indicated in the text. The model analyzes the meaning of the text, and then answers the questions of the classifier.

Thus, using the optimal set of required text tools allows you to solve the problem of processing an incoming flow of cases of any complexity. One of the problems in working with documents is the huge amount of routine that leads to a decrease in employee attention and errors. Thus, the cause of shortcomings in documents in more than 85% of cases is the human factor. At the input, the platform captures the document or its image, automatically recognizes the type and extracts data. The finished result is packaged in a convenient format, such as JSON or XML, and exported to the target information system. The functionality of the EasyDoc ITFB is not limited to document recognition. The platform is able to structure data arrays, perform cross-document checks, extract information necessary for decision-making, and build links between different types of documentation.

To recognize one page of a full-text document, the system takes no more than two seconds, while the recognition accuracy is up to 98%, according to the ITFB Group. Human verification is only required in complex cases. The solution is installed in the customer's loop, which ensures the security of the extracted data.

2023: Grant from FSI to develop ITFB EasyDoc

In the summer of 2023, ITFB Group received a grant to develop the ITFB EasyDoc platform from the Innovation Assistance Fund as part of the Commercialization - AI competition. Grant funds were used to develop the Capture Studio service, which allows the user to independently configure new templates for recognition.
