On July 22, 2025, the company 1C: First bit"" announced that, together with the company Hoff Tech"" - the main technical partner Hoff in the field of development and support IT infrastructures , they automated work with machine-readable powers of attorney (MCD) in the Hoff chain of stores. With the help of "," 1C: Document Flow integrated with "," 1C: Salary and Human Resources operational registration, coordination and signing of powers of attorney for 7,000 employees of the company was organized. Control over the terms of their validity has been strengthened. It takes 90% less time to issue powers of attorney, MFDs are always relevant, and for information any of them you can find them in the system in a couple of clicks. Paperwork has accelerated, employees are faster at signing electronic documents and making deals.

As reported, Hoff (Home Interior LLC) is a multi-format retailer of furniture and household goods. The company develops several store formats - from hypermarkets to planning studios, as well as an online store. As of July 2025, the company has 67 stores in 31 cities of Russia. The total area of ​ ​ retail space is more than 420 thousand square meters. Hypermarkets are visited annually by more than 22.7 million customers, attendance at the online store on the website and in the Hoff mobile application - more than 120 million people a year.

The company has more than 7,000 employees, so it is necessary to issue a large number of powers of attorney for signing documents and solving other work tasks.

Previously, work with powers of attorney in the company was partially automated on the basis of "1C: Salary and personnel management." From September 2024, employees of Russian organizations had to switch to signing documents with a qualified electronic signature with the obligatory provision of machine-readable powers of attorney. The company has become necessary another system that would make it possible to systematize work with powers of attorney, optimize their release and control over their relevance.

To solve the tasks, the 1C: Document Flow system was chosen. The partner in the project was 1C: First Bit, which has been cooperating with Hoff in the field of automation of 1C-based business processes since 2009.

For 7 months, 1C: First Bit specialists gradually implemented in 1C: Document Flow of the functionality necessary to work with the MFD, deployed a system for 7,000 jobs, integrated with 1C: Payroll and HR Management, the service for creating and issuing EDS and the blockchain platform of the Federal Tax Service of Russia. Already in February 2024, Hoff launched a system of working with powers of attorney, so the company had enough time to prepare for the mandatory transition to the MFD in September and train employees.

Key Project Deliverables:

  • Integration with the EDS creation and issuance service allows you to quickly control the statuses of electronic signatures: when the signature is issued, the information goes to 1C: Document Flow and the employee receives a notification that he needs to write the signature to the token.
  • The MCD release and reissue is automated in accordance with "triggers": reception or transfer of an employee to a position with an agreed list of powers, change in the composition of powers or personal data of a specialist. Employees' data are pulled up in "1C: Document Flow" from "1C: Payroll and HR Management" automatically, which eliminates errors in paperwork.
  • The "Authorization Master Data" implemented in the system helps to control the types of powers of employees and their validity period: if a specialist leaves or his powers change, the administrator of powers of attorney receives a corresponding notification. This prevents the possibility of unauthorized access to documents and their forgery.
  • After the approval and signing of the MFD, the system automatically transmits data on the employee and his powers to the Federal Tax Service, which optimizes the signing of documents and the conclusion of transactions with counterparties.
  • In addition, the system has created a unified register of electronic powers of attorney for convenient search, monitoring of validity periods and tracking the status of each document. For each power of attorney, you can get detailed information: type (notarial, judicial), validity period, sample signature of the authorized person, the fact of transfer of the original and the place of its storage, right of transfer, etc. As a result, the power of attorney is always up to date, and information on any MFD can be found in a couple of clicks.

Automation of work with the MFD on the basis of "1C: Dokumentoborota" was the right decision. The automation requested covers the required process and checkpoints. Even those employees who were initially skeptical are pleased. Each specialist can log into the system at the right time and find out what is happening with his document, understand who can be contacted in order to speed up coordination. The issue of powers of attorney has been optimized, transactions are concluded faster, and errors in documents are excluded. In the near future, Hoff plans to replicate 1C: Document Flow for other tasks related to the execution and approval of documents.
