The open joint stock company "Industrial and Logistic Park management company is created in 2008 at the request of the Governor of the Novosibirsk region for the organization of construction and operation of objects of engineering and transport infrastructure of the Industrial and logistic park of the Novosibirsk region (PLP). An area of responsibility of UK "PLP" is the territory of the Industrial and logistic park of 2000 hectares located in the Novosibirsk district in 12 km. from Novosibirsk and 6 km. from the international airport "Tolmachevo".
After the company passed a formation stage, the need for business process automation became obvious. It was necessary to formalize and as much as possible to automate process of work with the entering and outgoing documents, to adjust task management and instructions, to provide effective interaction of employees and access to necessary information for effective solution of the tasks facing the company.
The answer to all these questions was found in a type of the software solution the Asset Business developed by Corporate Systems — Consulting company (Barnaul) based on the eDocLib ECM system from the EDMS leading Moscow developer of Electronic Office Systems (EOS) company. Corporate Systems — Consulting company – the golden partner of EOS Group. eDocLib: The asset Business represents the complete solution automating the basic processes typical for the enterprises of small and medium business: accounting of the entering and outgoing correspondence, contract management, CRM and Help Desk and job control. Thanks to the special utility of integration a system can work in a common information space with Microsoft Outlook (and through it – with mobile devices), including export/import of tasks, contacts and electronic correspondence.
Implementation took place in March, 2011 and took slightly more than a month. During this term specialists of Korporativnye sistemy-Consulting LLC conducted examination of business processes of the customer; the approximate type of a configuration and structure of the automated processes is defined and approved; eDocLib system: An asset Business it was configured under specific features of UK "PLP"; system deployment on 25 jobs is carried out. Besides, all staff of UK "PLP" participating in business process underwent group and individual training and, thus, was completely trained for work in a system.
For simplification and the maximum automation of input in the system of documents of previous periods by the customer the option "Line Scanning" thanks to which scanning and document registration in a system as much as possible becomes simpler due to use of the line scanner and automatic "applying" of electronic images of documents to registration cards on the basis of a barcode was also purchased.
In plans of further cooperation of JSC UK PLP and Korporativnye sistemy-Consulting LLC – signing of the contract of remote administration of the eDocLib system: Asset Business; development of the special documentation regulating work of staff of the company with documents and also further completion of a configuration taking into account the changing requirements and the growing needs of the customer.
Having worked in a system "eDocLib: An asset Business" within a year, the company management estimated results of implementation as exclusively positive: access to documents thanks to formation of the data warehouse uniform, available to all became simpler, the performing discipline noticeably increased, and it became much easier for heads to control execution of instructions.
System "eDocLib: The asset Business" was provided to employees by the accessibility to corporate data in the remote mode via the web interface and also synchronization with Microsoft application of Outlook (and through it – with mobile devices), including export and import of tasks, contacts and correspondence that provided a possibility of participation of specialists in workflow regardless of their physical remoteness from office.
In the regional budget of 2012 for the program of development of PLP 200 million rubles, and as a result of adjustment of the budget in May – 1.2 billion more rubles are planned. "For today we successfully keep up with all set paces of development of infrastructure, the project develops, the number of residents constantly grows. By 2017 we are going to reach payback of the project. In this construction season we should perform large-scale works on creation of new infrastructure facilities." – the CEO of JSC Promyshlenno-logistichesky park Management Company Victor Balala explained.
The increase in number of residents and investors, new tasks facing the company led to staff increase which it is necessary to include in a common information space. And in June of the current year the decision on scaling of a system "was made by eDocLib: An asset Business" by additional purchase of 10 jobs.
