2025: Optimization of the AI agent for entering data from personnel documents into the KEDO systems
Smart Engines scientists have accelerated an AI agent to enter data from personnel documents into KEDO systems. Now it is able to recognize 100 kits from documents required for employment in 1 minute on a server without a GPU. Even at peak load, the response is only a couple of seconds. The solution is relevant for fast-growing businesses and industries with a high need for personnel - retail, hospitality, tourism, logistics and transport. Smart Engines announced this on September 25, 2025.
The measurement was carried out on a basic set of documents, including scans and photos of 12 documents: the main spread of the passport and pages with registration, SNILS, TIN, work book, STD-R, military ID, registry office certificates on marriage and birth, diploma of education, passport, driver's license. The entire sample - data and images of documents used to train and measure the system - was synthetically generated and does not contain real personal data.
AI agent Smart Engines as of September 2025 supports 100 types of documents of the Russian Federation and the CIS, which makes it applicable in almost any area where employment takes place. The system confidently recognizes handwritten work books, military tickets, medical books, diplomas of education and even certificates of a tractor driver and welder.
The solution is also useful when hiring foreign employees - and not only from the CIS countries. AI agent Smart Engines scans documents of China, India, Pakistan and more than 230 other jurisdictions of the world with high accuracy, while simultaneously solving the problem of ignorance of personnel about the structure and formats of fields of foreign documents. The system "knows" the specific location of all the details of the document - for example, where the name is and where the surname is, where the series is and where the unit code is - and automatically extracts the necessary data. In total, the Smart Engines database includes more than 3 thousand types and 5 thousand unique document templates.
If necessary, you can set up recognition of your own typical forms with printed, hand-to-hand and handwritten filling - for example, consent to the processing of personal data or corporate questionnaires and applications for the transfer of wages. To do this, a form designer was developed that allows you to customize the recognition of a new document type day to day without programming skills.
The high quality of recognition and performance of the AI agent is provided by the neural network stack developed by Smart Engines scientists from ultra-fast algorithms. Thanks to the Da Vinci model, the system is not demanding on the image of a document and reads data even in the presence of geometric distortions and in low light conditions. "Green OCR 2.0" significantly - by 20% - speeds up recognition and supports the energy efficiency of the AI agent, minimizing the carbon footprint of recognition. In addition to automatically entering data into the system, AI allows you to check the documents of candidates for authenticity - this functionality can be added using the Sherlock 2o model.
