The IT automated document flow of Solikamskbumprom

The IT company implemented the electronic document management system (EDMS) at the Solikamskbumprom enterprise. In the course of implementation it was succeeded to optimize the business processes connected with the movement of documents and to accelerate interaction of divisions of the enterprise. EDMS de facto is in commercial operation, in it 73 employees work.

"JSC Solikamskbumprom is the large, steadily working Russian paper-making enterprise with rich history and traditions. In the aspiration to conform to market demands of JSC Solikamskbumprom actively develops, it concerns not only productions, but also managements, information technology implementation. In 2008 the management of Solikamskbumprom decided to implement EDMS to automate and optimize the processes connected with processing of flows of documents.

Prior to the beginning of the project at the enterprise there was a document flow on the basis of paper carriers without use of special software tools. In selection process of EDMS representatives of the enterprise collected all possible information on the similar systems and visited the next organizations of Perm Krai which already implemented EDMS to observe work in a system and to estimate effect of implementation. The system of the class ECM BOSS-Referent who well proved at the Silvinit plant was as a result selected. Automation of registration and processing of the entering and outgoing correspondence, work with instructions and also ensuring control of execution of guidelines became the main objectives of the project.

The analytical examination conducted by specialists of IT revealed bottlenecks of the document flow which developed at the enterprise. Owing to the different reasons the available business processes had a number of unique features which should be considered at implementation. The IT offered plant's management of the scheme of optimization of interaction between participants of document flow who were approved and assumed as a basis at implementation of EDMS. Thanks to it it was succeeded to accelerate processing of internal administrative documentation and approval of memos.

For example, mailing of orders on primary activity and personnel orders on acquaintance in divisions accelerated. It was necessary to make hard copies of orders earlier and to carry them by the machine on divisions of the plant. Now after registration the document within 10 minutes is sent on acquaintance, plus is a possibility of control of acquaintance in EDMS.

Also Solikamskbumprom actively uses the mechanism of control of performing discipline in relation to solutions of the president of the company. On the basis of its solutions instructions form, are sent on execution and the fact of accomplishment is controlled by the responsible person. EDMS allows to keep track of timeliness of accomplishment of instructions, to prepare reports for the president on execution of a time of exercises.

BOSS-Referent the IT company began deployment of EDMS based on the system of the class ECM in June, 2010, and in the fall of the same year the electronic document management system went through a stage of trial operation. Now EDMS de facto is in commercial operation, in a system 73 employees work.

Elena Vedernikova, the head of department of the administration and office-work of JSC Solikamskbumprom, commented on project results: "We estimated advantages of use of a system already at a stage of trial operation. Now the work documentation quickly goes through all necessary processing stages that allows us to work with clients more flexibly. Interaction between divisions accelerated: all organizational and administrative documentation is quickly delivered to them".
