Organizovatcentralizovanny storage of archive in Samaragaz branch thought of need for a long time. From 40th years the huge archive accumulated here: drawings, acts, technical documents. All these papers with the lined gas pipelines practically always were in work - at construction of new branches, at inserts and reinserts and also at any change of communications (laying of a water supply system or reconstruction of roads) it is important to know where already existing networks lie. But many of documents became useless, some decayed so that were just scattered in hands during the work with them. Besides, employees had to spend a lot of time for search of the necessary documentation.
To solve all these problems, in 2009 the SVGK LLC company addressed in ASCON-Samara. As a result, IT specialists were engaged in system development which would allow to organize the centralized structured storage of the archive documentation. As base selected "PILOT" who allows to keep a large number of electronic information. But there was a question - from where to take files? In electronic form documents were not.
ASCON offered technology of preliminary scanning of documents, - Semyon Sergeyevich Ganzha, the commercial director ASCON-Samara tells, - And as the quality of the scanned originals was expected low, the solution - to miss electronic originals of documents through the professional hybrid graphics editor SpotLight was found. Its leading role - to adjust the image, to clean the scanned documents from "garbage", "stick together" the broken-off edges. Only after that the file of high quality had to be placed in the Pilot system.
Such system of the centralized storage of archives based on the PILOT system was also implemented in Samaragaz. As a result at employees need to address constantly to archive disappeared, access to documents became possible to be got directly from the working computer.
Besides, specialists ASCON-Samara developed in the main auxiliary routines which allowed to find quickly interesting objects and also to edit drawings, to place new, etc.
The structure of storage was adapted for requirements of the enterprise. For example, for convenience of work the archive was broken into sections using special terminology: gas pipeline of high, low and average pressure; if necessary, it is possible to find the necessary document and on territorial arrangement - on the specific street and also by the name, accession number, a surname of the customer, etc.
"First of all placed gas networks in electronic base length from kilometer and more and also the Samara break-throughs and the settlement-faced, - Denis Alekseyevich Kryltsov, the head of the GIS group of Samaragaz branch explains. - Many of these gas pipelines have no addresses, and some, on the contrary, appear under several therefore their search in normal archive was complicated. Now - it is possible to find the necessary section in electronic form in read minutes".
At the same time it is important that the software product created based on the PILOT system provides reliable storage of all contemporary records, i.e. completely excludes data loss and therefore provides continuous workflow.
At the enterprise about 4 thousand executive technical documents are processed. However, it only the beginning. Creation of electronic archive continues. By the way, not only old papers, but also all new documentation it is also scanned and stored in a new electronic system.
