The market for EDMS, ECM and CSP systems has been growing steadily over the past few years. What factors influence its dynamics and development, which is most important for customers today, what new technologies vendors are introducing into their solutions - in a new TAdviser review.

In 2024, the development of the market was influenced by the business orientation towards digital transformation, import substitution and state initiatives to switch to paperless document management.

Many companies have already passed the stage of automation of internal document management and approval of contractual documents, and their attention is focused on the digitalization of other corporate processes.

Factors related to electronic document storage and automation of external document flow also play a role. This provision is due to government policy aimed at abandoning the paper and effective or expected legislative changes. Among them are a mandatory machine-readable power of attorney from September 1, 2024, requirements for the storage of electronic documents and systems of such storage, the introduction of electronic transportation documents for alcoholic beverages and plans for their mandatory use for other industries.

One of the dynamically developing areas at present is the digitalization of archives. In 2023, Rosarchiv approved the rules for picking, storing and recording electronic archival documents in specialized systems (storage and storage facilities). Now further development of regulation in this area continues.

In the federal executive bodies, the development of electronic document management in 2024 stimulated a pilot project for the transition to a new procedure for working with digital instructions from the Russian Government. The corresponding experiment started in July and implied the provision of detailed reporting by departments on the intermediate stages of execution of orders. At the same time, the pilot participants could finalize their EDMS for automatic transfer of information or enter data manually on the GosEDO portal.

Legislative initiatives, such as local storage requirements, import substitution requirements and increased security standards, have a significant impact on the choice of Russian solutions.

Directum became the leader in the rating of the largest suppliers of EDMS, ECM and CSP systems in 2023. Its revenues from the implementation of relevant projects increased by 22% and exceeded 1.5 billion rubles. The second line in the rating is from the company Synthellect. Its revenue reached 1.3 billion rubles. (+ 0.8%). The third place was taken by Digital Design (1.27 billion rubles, + 9.3%).

In total, 23 companies took part in the overall rating - both vendors and integrators. The total revenue of all participants in the rating from the implementation of EDMS, ECM and CSP projects approached 13 billion rubles.

The requests of EDMS customers over the past two years can be divided into several categories. The first is basic, concerning standard workflow processes and related to registration, approval, signing, execution and storage of incoming, outgoing correspondence, organizational and administrative documentation.

The second category is specific to individual industries. For example, in the banking sector it can be working with a client or product dossier, in the public sector - appeals of citizens and the provision of public services, in industry - automation of processes related to the approval and circulation of technical documentation, etc.

At the same time, large customers need to adapt processes to their unique practices. Many companies need to automate financial processes, the full cycle of accepting a new employee into the company, from posting resumes to conducting training and entering the workplace or maintaining a document archive.

The issue of import substitution of foreign decisions is still relevant and will be on the agenda for the coming years. Experts note that there is still a great need to replace platforms such as Documentum, OpenText, IBM FileNet, which are used in enterprise companies.

In the past two years, customers have mainly been engaged in import substitution of system software and business-critical systems. Now companies are ready to concentrate on import substitution, including EDMS/ESM systems.

Russian systems in some respects do not reach the level of Western analogues. However, it can also be seen as an opportunity for further technology development and improvement.

Among the factors that complicate import substitution, personnel shortages remain, especially in cases where companies try to independently establish processes without referring to specialists with experience in solving such problems.

TAdviser interviewed the participants of the Russian EDMS market and learned which technological trends in the development of such solutions are most relevant by the beginning of 2025.

Most often, experts talk about the development of Low-code/No-code tools, the growing importance of process mining technologies, mobility, the possibilities of artificial intelligence, movement towards ecosystems and superapps.

TAdviser learned what new features appeared in the arsenal of Russian EDMS, ECM and CSP systems in 2024 and what innovations will focus the attention of developers in 2025.

The survey was attended by developers of 11 domestic solutions.

Over the entire observation period, the TAdviser database accumulated information on 8.4 thousand projects for the implementation of EDMS/ECM/CSP systems (as of December 2024). Of these, more than 1.3 thousand projects have been completed over the past 3 years. The top 5 industries - leaders in the introduction of EDMS in 2022-2024 include the sectors of construction, IT, finance, as well as the public sector and education.

Out of more than 1.3 thousand Most of the ED projects implemented in 2022-2024 were carried out on the basis of Directum's solution - Directum RX. Among the leaders were also noted products ELMA365 ECM, Tessa, Docsvision, THESIS and 1C: Document Flow.

The market remains positive and it is expected that a number of key trends will continue to significantly affect the development of the industry in the future. Moreover, these will be both global trends and characteristic of the Russian economy.

One of the main drivers of growth will remain the deepening of digitalization: companies will actively strive for complete automation of business processes and switch to paperless document management.

Demand for Russian systems will continue. The state and business environment will continue to support Russian developers and products. This will create favorable conditions for the development of the market. Customers will increasingly focus on local solutions that meet Russian specifics and legal requirements.

Vendors that are able to adapt to new realities, implement modern technologies and take into account the changing needs of customers will be able to take a leading position and ensure a successful future in the industry.
