Digital Design: Digital library

The digital library is an information system on the DocsVision platform. It is intended for collecting, processing and convenient use of materials of ROC and Research and Development, audio-and videos of meetings and the presentations, the training materials and the presentations, statistic reports, the technical and project documentation

The solution "Digital library" automates the following functions executed by the librarian during the work with documents:

• Collecting of documents: documents can be entered to library not only manually, but also automatically if they exist in electronic form in information systems. In particular, close integration of the Digital library with the workflow system, file storages, etc. is possible;

• Attributization and classification of the document: when loading the document in a system, its properties can partially be autocompleted on the basis of the rules set by the system administrator. So properties "Author of the Document", "Date of Creation", "Document subject", etc. can be filled;

• Contents: when loading the document in a system its reference to one or several headings of the subject heading list of library by the operator of library, or automatically on the basis of data on a document source can be made;

• Logical binding of documents: The digital library allows to configure rules by which logical relationships between documents are established. Thus can be connected, for example, state. the contract, the order and the report on the project. Binding of documents with each other facilitates information search.

Using the Digital library, the user can find without involvement of the librarian or the registrar materials necessary for it, according to the access rights.

Search can happen by means of the simplified forms (for all employees, including, not being advanced users), full-text search, attributive search, search using logical expressions. If necessary the Digital library is integrated into CIS of the organization.

Functionality

• Creation and initial filling of a structured storage of data and documents;

• Creation of the single interface of access to different data warehouses and documents which are in file storages, databases, information systems, paper and other carriers;

• Accounting created during ROC and Research and Development of documents (annotational reports, scientific and technical reports, technical documentation and other materials);

• Regulation and automation of process of material accounting of ROC and Research and Development;

• Creation of the tool for quality evaluation of the represented reporting materials of ROC and Research and Development;

• Creation of access mechanisms, search and viewing different materials, including: the training materials, the normative reference documentation, the presentations, media materials, videos of meetings.

Advantages

• Ensuring the formalized and accurate accounting of materials due to creation of the uniform data warehouse: the possibility of loss of materials is excluded, access to materials depending on a role and the employee's rights is limited;

• Increase in efficiency of use of the saved-up intellectual property at the expense of a possibility of the appeal to materials and reuse of the received results;

• Minimization of emergence of duplicative works due to identification of similar problem definitions in Technical specifications on ROC and Research and Development.
